Purpose of the Position

As a Personnel Logistics Coordinator, you will:

  • Ensure smooth mobilisation and demobilisation of offshore personnel across global operations.
  • Report to the Personnel Logistics Team Lead and support HR’s core business function to meet corporate objectives.
  • Act as the focal point for allocated vessels, managing all aspects of personnel logistics.

What You Will Do

Your responsibilities will include:

  • Mobilisation & Demobilisation Support
    • Coordinate global personnel travel, ensuring efficiency, cost-effectiveness, and adherence to crew change schedules.
  • Regulatory & Certification Compliance
    • Maintain up-to-date offshore certifications for mobilisation, including:
      • Passports & Seafarers’ IDs
      • Offshore survival certifications (BOSIET, FOET, STCW, OLF, Bi-Deltoid, EBS/CAEBS)
      • Medical fitness certificates (OGUK & Saipem standards)
      • Relevant vaccinations (e.g., Yellow Fever), ensuring compliance.
    • Work with HR to schedule training and medical refreshers aligned with mobilisation timelines.
  • Travel Management & Booking
    • Book and manage all travel requirements (flights, accommodation, car hire, rail) via Saipem’s Travel Management System (TMS).
  • Data & Record Keeping
    • Maintain accurate records in:
      • Offshore Personnel Tracker
      • Offshore files
      • HR headcount reports (tracking vessel movements/rotations).
    • Update the Personnel Details Staff List for travel preferences and changes.
  • Cross-Functional Coordination
    • Collaborate with the Training Department for client-specific training.
  • On-Call & Continuity Support
    • Participate in an on-call rota for vessels and personnel outside core hours.
    • Provide cover during team absences to maintain operational continuity.
  • Compliance & Standards
    • Stay updated on Saipem procedures, industry standards, and statutory regulations.

  • 2–3 years of experience in coordinating international travel and visa arrangements, preferably in a fast-paced personnel logistics environment.
  • Experience in Offshore/Oil & Gas (ROV, Aviation, Marine) is a plus.

Technical Knowledge

Competence in:

  • Visa processes & international travel compliance
  • Offshore certifications & training requirements
  • Global travel restrictions

IT & Administrative Skills

  • Intermediate+ proficiency in Microsoft Office Suite.
