About the Role

PGIM Credit’s London Corporate Finance team seeks a dynamic, organised, ADMINISTRATIVE ASSISTANT (RECEPTION) to play a pivotal role as the heartbeat of the London office. This front-of-house position ensures seamless operations for both internal teams and external visitors while supporting the senior administrative squad. Role entails:

  • Full ownership of front-of-house duties (welcoming guests, reception management).
  • Coordination responsibilities to include meeting logistics, domestic travel, travel itineraries, guest reconfirmations, and expense submissions.
  • Comprehensive email system administration—filing, prioritising, filing, clearing daily routine, and representing the admin team.
  • Applicating stronger organisational systems for phone management, badge-based access control, and minute-taking.
  • IT device management, inventory of refreshments, and stationery ordering.
  • Collaborative team assist duties, grounded in sharp detail orientation and communication.
  • Autonomous execution, decentralised decision-making under minimal supervision.

Responsibilities

Front-of-House Leadership

  • Ensure the welcome area, reception, and working spaces reflect PGIM’s professionalism.
  • Manage meeting room calendar, reservations, and video-conference setups.

Meeting & Logistics Coordination

  • Facilitate detailed itineraries, video conferencing connections, arrangements for refreshments and hospitalities.

Travel & Expense Management

  • Schedule domestic travels; craft detailed itineraries and submit/check expenses meticulously.

Email & Workflow Management

  • Process daily email influx: filing, prioritising, organising, delegate routine tasks.
  • Actions to manage IT/Mobile setups: handle IT-related user requests with IT department.

Clerical & Administrative Support

  • Circulate pricing enquiries, offer equal support between London-based teams and wider collaborative units.
  • Screen, prioritise, and delegate internal & external calls.

Assisting Investment Professionals

  • Assist VP teams with expense submissions, compiling meeting materials, and document pressage.

Office & Team Support

  • Minute-taking for meetings.
  • Expanded loosely defined support roles i.e., conducting routine safety inspections.
  • Create and maintain detailed tracking systems for ‘to do’ lists and corrective actions.

Ideal Candidate Profile

Must-Have Qualities

  • Proven receptionist/administrative experience in high-tempo office environment lends structure to fluid needs.
  • Enthusiasm and professionalism measured in producing friendly atmospheres, sharpening multi-tasking acumen, blessedly bridging gaps between home, mobile colleagues and HQ.
  • Expertise in handling videoconference platforms and managing telephonic prioritisation.
  • Clear authoritative communication marked with diplomacy—internally and externally with high-end deep profiling.
  • Comfort with confidentiality and handling sensitive information discreetly.
  • Proficient in Microsoft Suite particularly Microsoft Outlook.

  • Operates productively in hybrid-model settings, displaying maturity on task delegation.
  • Identifies high priority flag demarcations regards end-of-day boundaries.
  • Proactive, problem-solving mindset. Goes beyond instruction; anticipates and fulfills office /in-office needs.
