About the Role: Reception & Administrative Assistant

Job Title: Reception & Administrative Assistant Location: London, Office-based (pace) Contract Type: Fixed-Term (12 months, full-time, 5 days per week) Core Focus: Front-of-house, administrative, and team support


What You Will Do

Front-of-House Duties

  • Ownership of the reception area:
    • Overseeing meeting room booking calendars
    • Maintaining a polished and welcoming reception environment
    • Welcoming both internal staff and guests with a professional attitude

Administrative & Logistics Support

  • Meeting Coordination:
    • Managing room bookings (including video conferencing)
    • Preparing meeting materials, refreshments, and hospitality arrangements
  • Travel Coordination:
    • Planning domestic trips with detailed itineraries
    • Submitting and tracking travel-related expenses
  • Email Management:
    • Structured filing, daily prioritisation, and clearing a high email volume
    • Maintaining a digital to-do list and acting as the team’s gateway for professional correspondence
  • IT/Technology Support:
    • Coordinating with IT for device issues and workplace tech challenges
  • General Liaison & Operations:
    • Screening and redirecting (priority-based) calls
    • Handling post and courier distribution
    • Managing Health & Safety checks
  • Keep records, order refreshments and office supplies

Team Assistant Support

  • Provide day-to-day backup and flexibility for the Senior Administration Team

  • Proven experience as a receptionist/office admin supporting busy corporate teams
  • Team-oriented mindset with high energy, pragmatism, and adaptability
  • Multitasking mastery: Thriving in a dynamic office while managing hybrid colleagues in various locations
  • Confidence and judgment—deciding action steps proactively, pausing to escalate consultation
  • Self-starter mentality: Able to plan ahead, pick up efforts beyond defined tasks, and work autonomously
  • Exemplary communication skills for written and verbal correspondence, unifying multiple teams
  • Discretion & privacy focus tackling sensitive information with integrity
  • Ultra-attention-to-detail Ensuring completeness, accuracy, and precision
  • Technical fluency: Proficient in Microsoft Office (Outlook especially)
