We are recruiting to the role of Pharmacy Purchasing Assistant
The post holder will contribute to the smooth and efficient running of pharmacy purchasing and invoicing processes, maintaining high standards of accuracy, governance and communication while supporting the wider Pharmacy team. You will be collaborating with our pharmacy Procurement Team, the Trust Finance Team, and pharmaceutical suppliers to ensure the smooth processing of invoices.
The post holder will work as part of the Pharmacy Business Support Team and will:
- Be responsible for the accurate and timely processing of invoices and credit notes for medicines and pharmaceutical supplies purchased by the Pharmacy Department, in accordance with agreed payment terms and the Trust’s Standing Financial Instructions (SFIs).
- Investigate, resolve and document invoice discrepancies, including price variances, quantity mismatches, missing deliveries, duplicate invoices and outstanding credits.
- Liaise with suppliers, the Pharmacy Procurement & Distribution team, and the Trust Finance Department to ensure prompt resolution of invoice queries and to avoid delays in payment.
- Maintain accurate financial and audit records in line with Trust policies and procedures.
- Contribute to the ongoing development of pharmacy administrative processes to support safe and efficient pharmaceutical services.
- Adhere to all relevant legislation, Trust policies, and departmental Standard Operating Procedures (SOPs), including GMP (Orange Guide), COSHH, and Health & Safety requirements.
