Role Overview
Location: London Vet Specialists, Hammersmith, W6 9RS Reports to: Head of Services Hours: Full-time, 40 per week Salary: Up to £34,000, depending on experience
We seek an organised, proactive, and professional Veterinary Pharmacy & Purchasing Assistant to join our growing Clinical Operations Team. This pivotal role supports exceptional patient care by managing pharmacy services, stock procurement, and distribution—ensuring medicines, consumables, and equipment are available when needed.
Collaborating closely with clinicians, nursing teams, client care staff, and pet owners, you’ll champion regulatory compliance, operational efficiency, and outstanding customer service.
Ideal suitability: Registered Veterinary Nurse (RVN), Suitably Qualified Person (SQP), or approved pharmaceutical qualifications plus healthcare experience.
Key Responsibilities
Pharmacy & Medication Management
- Support safe, compliant handling of pharmaceuticals (storage, dispensing, distribution).
- Maintain accurate medication records and uphold controlled drug governance measures.
- Liaise with pet owners and referring vets on prescriptions and medication queries.
- Ensure optimal pharmacy stock levels for uninterrupted patient care.
Procurement & Stock Control
- Cost-effective procurement of medicines, consumables, and equipment.
- Monitor stock levels and manage replenishment processes across departments.
- Conduct regular audits, stocktakes (quarterly), and financial reconciliation.
- Partner with suppliers to achieve value without compromising quality.

Operational & Financial Governance
- Support budget monitoring for departmental spending.
- Ensure compliance with hospital procurement policies and financial controls.
- Identify process improvements and cost-saving opportunities.
- Review and implement pharmacy and stock management procedures.
Communication & Collaboration
- Build strong relationships with clinicians, nursing/colleague teams, and suppliers.
- Maintain clear, professional communication to ensure efficient workflows.
- Provide exceptional customer service to pet owners, vets, and colleagues.
- Foster a collaborative, patient-centred team culture.
Administration & Records
- Maintain accurate digital records across platforms and systems.
- Complete documentation timely, accurately, and compliantly.
- Adhere to SOP, policies, and external regulations.
About You: Your Skills & Mindset

- Strong communication (verbal and written) and clinical IT/administrative expertise.
Essential Criteria: ✔ 1 year minimum experience in veterinary/human healthcare. ✔ Pharmacy, stock control, or procurement relevance (or pharmacy sciences). ✔ Regulatory knowledge of healthcare operations. ✔ Proficiency in Microsoft Office and healthcare/inventory systems.

Desirable Qualifications: 🔹 RVN, SQP, or pharmaceutical diploma/certificate 🔹 Experience in veterinary referral hospitals (a bonus!)
