Planning Administrator

Hiring: Planning Administrator

📍 Location: Milton Keynes, MK17 8LX 💰 Pay: £28,000 per annum 🕒 Working Hours: 9am – 6pm (Monday – Friday)

About the Role

We’re Securitas UK, shaped by "Integrity, Vigilance and Helpfulness". A role to redefine the future of planning: This Planning Administrator position sits within our emerging Workforce Management function. You’ll refine how we foresee, prepare, and execute—jumpstarting solutions in data, organisation, and forward-thinking for our global safety operations.

Ideal for those who thrive in structured environments where proactive planning yields impact:

  • Data-driven decision-making shaping workforce coverage.
  • Balancing long-term goals while ensuring seamless execution.
  • Preempting challenges through sophisticated trend analysis across forecasting, schedules, and resourcing.

Key Responsibilities

  • Workforce planning: Create accurate long-term schedules (up to 12 months ahead) and coverage plans, ensuring alignments with client demands and operational demands.
  • System operation: Utilise WFM systems (e.g. Timegate)—prior experience helpful but learn-on-the-job.
  • Demand modelling: Analysing historical trends/forecasts to forecast demand, flag potential risks, and optimise resources.
  • Data integrity: Maintain immaculate data within systems to drive planning accuracy and reporting standards.
  • Collaborative alignment: Partner with stakeholders to link workforce strategies with business/operational priorities.
  • Gap identification: Proactively spot resource deficits and support recruitment alignment.
  • Payroll compliance: Ensure payroll data accuracy and address arising queries.
  • Personnel readiness: Verify training, competency, and deployment compliance.
  • Process improvement: Continuously seek ways of enhancing planning efficiency and coverage reliability.

What You’ll Bring

Core Requirements

  • Exceptional organisation OR problem-solving skills, capable of handling long-term priorities with precision.
  • Proficient technical acumen in managing WFM systems (e.g. [Timegate])/similar platforms.
  • Self-directed ownership working independently with minimum oversight.
  • Exceptional written/verbal communication, with a knack for precise data handling.
  • Competency aligning effort towards a structured, proactive approach ensuring impeccable first-time quality.
  • Right to work in the UK.
  • 5-year verifiable employment history.

Desirable Qualities/Nilificates

  • Advanced experience using Microsoft Office tools.
  • Background in administrative, clerical, or similar scheduling roles.
