💰 Pay: £28,000
🕒 Working Hours: 9am – 6pm (Monday – Friday)

As part of our growing and new Workforce Management function, we’re looking for a Planning Administrator who can bring structure, insight, and organisation to how we plan ahead. This role is all about thinking forward, making sure we’re prepared, resourced, and ready to deliver exceptional service.

Job Description
As one of our new Planning Administrators, you’ll support how we plan for the future—helping to build accurate, long-term workforce plans that keep our operations running smoothly.
Using data, systems, and excellent organisation, you’ll help ensure we’re not just reacting to demand but proactively preparing for it. Your work will play a key role in reducing disruption, improving efficiency, and enabling consistent, high-quality delivery across the business, putting our people at the heart of everything, always, maximising service excellence for our clients as a result!

What you’ll be doing:
- Support the creation of long-term workforce plans, building rosters and coverage up to 12 months in advance
- Use WFM systems (including Timegate) to ensure accurate, forward-looking scheduling (Note: this can be learnt on the job but would be great if you have experience with this system or similar rostering platforms)
- Analyse trends, historical data, and forecasts to anticipate demand and highlight risks early
- Ensure all schedules are accurate, compliant, and aligned to business and client needs
- Maintain high-quality data within systems, ensuring reliable reporting and planning accuracy
- Work closely with stakeholders to align plans with operational priorities and workforce requirements
- Identify future resourcing gaps and support recruitment planning activity
- Support payroll accuracy through correct data input and query resolution
- Ensure all personnel are trained, compliant, and ready for deployment
- Continuously look for ways to improve planning processes and efficiency

What you’ll bring:
Essential Requirements:
- Excellent organisational skills and the ability to manage longer-term priorities
- Good IT skills, with experience using systems such as Timegate or similar workforce management (WFM) tools
- Ability to work independently and take ownership of workload
- Good written and verbal communication skills
- Proactive, structured approach with a focus on getting things right first time
- Right to work in the UK
- 5-year checkable employment history
- Ability to embody our values of Integrity, Vigilance, and Helpfulness
- Experience or knowledge of Workforce Management systems (e.g., Timegate)
Desirable:
- Working knowledge of Microsoft Office packages
- Previous administration or clerical experience
