Role Overview
We are expanding our Project Management Office (PMO) team and is seeking a Project Coordinator to support ongoing growth and development of the PMO function. The PC will be responsible for engaging with project stakeholders during all project calls and will play a significant role in refining, managing, and maintaining the standards by which projects are delivered. This position focuses on managing less complex projects, taking full accountability for their processes, actions, and dependencies always ensuring customer focus. You will work closely to support the PMO manager who will support you in your role and development.
Key Responsibilities
- Act as a key contact point, interacting directly with customers, account managers, Tech-presales and Arc consultants during project kick-off calls, pulse calls, and project close-out calls. Ensure all stakeholders are consistently updated.
- Assist in establishing and promoting a robust framework within the PMO.
- Coordinate with customers, sales teams, and delivery teams to support and manage project plans, ensuring strict adherence to PMO standards and delivering the best experience for all stakeholders.
- Contribute to the development and continual improvement of processes and ways of working. Nurture positive experiences for, customers, colleagues, and the wider Arc business through effective PMO team collaboration.
- Support the day-to-day management of projects within the PMO, taking ownership of specific tasks such as:
- Ensuring all projects are correctly set up
- Creating project plans and assigning resources appropriately
- Managing tickets and project plans providing responses to clients and internal teams to ensure a smooth and fast delivery.
- Attending and recording notes/actions during pulse and kick-off calls as required
- Assisting with operational tasks, including monthly and milestone invoicing
- Onboarding and offboarding client process streams
- Installations site and workshop coordination
- Monitoring open tickets and tasks proactively to move projects to completion
- Meeting with stakeholders to discuss problems and solutions to ultimately drive efficiency and customer excellence
