An opportunity has arisen for a Portfolio Management Analyst to join the Enterprise Technology team in Technology. As a Portfolio Management Analyst, you will support, enable and track the successful delivery of change and BAU portfolios, working closely with the Project Managers/Head of Portfolio Management/Delivery teams assigned. You will ensure all aspects of the portfolio are effectively tracked and reported to your CTO and the Enterprise Technology Leadership Team. You will be required to constantly find improvements for portfolio processes, the change management tool, wider change delivery framework and interaction with Technology teams and the business.

Key Responsibilities

  • Portfolio Planning
    Participate in the portfolio planning and reforecasting processes in use, which includes budgets, benefits, prioritisation, timelines and resource modelling, and communicate the results to all relevant stakeholders

  • Business Case Oversight
    Work with both delivery and finance teams to build robust, realistic business cases, including costs and benefits, and ensure these are updated by delivery teams when required

  • Portfolio Support
    Maintain portfolio roadmap, understand and track portfolio maturity. Attend portfolio meetings and prepare packs where required. Resolve recharge queries for the team. Awareness of impact within current portfolio on wider Technology and other business units/departments

  • Resource Management
    Track and report on resourcing view across the department and advise on over/under utilisation

  • Enterprise Reporting
    Work with Portfolio Manager and other Portfolio Management Analyst to:

    • Co-ordinate, contribute to, check and submit QCR packs or required reports by the Group deadline set
    • Provide statistics for the QBR or relevant forum
    • Fulfil any CIO requests for information
  • Change Oversight
    Awareness and understanding of all active change and BAU initiatives within the portfolio. Attend and support relevant change meetings – any reporting red or amber, and at key milestones. Ensure tracking and reporting of the realisation of benefits

  • Finance
    Ensure blended rates are recalculated and updated in the change tool in-line with agreed dates. Support the Enterprise Technology change and LT team to raise any required Purchase Orders and ensure best practice is followed for creation and management of the Purchase Orders, including validation of any reports issued by the Finance team for accruals within Marketplace. Ensure monthly reconciliation of Oracle and change tool actuals are undertaken by Project Manager/Delivery Lead/Service Owner. Work with finance partner to validate the corporate dashboard for Oracle actuals and support the GES change team and EPM team in use of the recharge process in place. Highlight any costs in Oracle which have not been assigned to the relevant change and work with the Portfolio Manager, delivery teams/finance partner to correctly assign these

  • Promote Best Practice
    Explain, negotiate, and agree best change methodology and governance, to embed best practice across the change team. Develop knowledge management for future change from past deliveries

  • Continuous Improvement
    Work as a trusted partner to the department to ensure the effective delivery and control of the portfolio, and to add value to processes, by suggesting new, enhanced ways of working

  • Change Tool(s)
    Be a Subject Matter Expert in the tool(s) used to manage change and act as the point of reference for any platform queries, issues and required training. Recommend improvements and participate in the testing of functionality enhancements when required. Carry out local data remediation and maintenance of the tool(s) to meet the needs of the team

  • Communication
    Utilise a variety of tools to provide first class communication to stakeholders on releases within the change tool/changes to governance standards/framework

  • Governance / Compliance
    Enhance and maintain governance for the delivery of the portfolio, to ensure change delivery is compliant to the agreed standards. Escalate non-compliance issues to management in relation to governance

  • Quality Management and Assurance
    Establish and manage a schedule of gate, milestone and quality reviews to ensure the required change standards are consistently delivered. Perform regular audits and health checks to ensure all deliveries are reviewed at key points and when completed

  • Portfolio Reporting
    Ensure adherence to localised reporting cadence and standards. Develop and manage effective portfolio reporting, including tracking KPIs/OKRs as appropriate, to enable effective data driven decisions/actions to be taken. Define new reporting requirements to PowerBI SME and work collaboratively with them to ensure they are produced

  • Risk, Issue and Dependency Management
    Provide visibility of conflicts, risks, issues, dependencies, and work with relevant stakeholders to manage and resolve/mitigate these across the portfolio

  • Change Community
    Active participation in relevant communities of practice, both within and outside of the Group IT department

  • Relationship Management
    Establish and maintain relationships with stakeholders at all levels throughout the organisation. Actively engage and work collaboratively with colleagues and partners

Our Must-Haves:

  • Proven experience in a change-related role
  • Ability to influence and challenge stakeholders
  • Have knowledge and previous experience of using a Portfolio Management tool
  • Knowledge of both waterfall and Agile delivery
  • Strong presentation, written and verbal communication skills to build and develop relationships with internal and external stakeholders
  • Energy and determination to succeed in a very fast paced environment
  • Advanced Microsoft Office user
  • Passionate about change and the customer experience
  • Be self-motivated, supervise own workload and produce consistent, high-quality outputs
  • Able to prioritise competing demands in a challenging delivery environment to ensure that work is delivered to tight timelines
  • Able to remain composed in stressful situations and work under pressure
  • Adaptable, personable, flexible team player with the ability to take ownership of tasks
