The Role
We are looking for an organized, proactive, and detail-oriented Post-Production Operations Coordinator to join our busy in-house Post-Production operations team.
In this role, you will be the connective tissue between our creative production teams, editors, sound designers, and external partners. You will play a pivotal part in keeping our post-production pipelines moving smoothly, ensuring our high-quality animated and live-action content is delivered on time, on budget, and to the highest technical standards.

Responsibilities
- Workflow Coordination: Assist in managing the day-to-day post-production pipeline for multiple digital and linear properties, tracking assets from ingest to final delivery.
- Scheduling: Create, update, and maintain detailed post-production schedules, ensuring creative teams, editors, and audio engineers are aligned on upcoming milestones.
- Asset Management: Oversee the organization, archiving, and transfer of master files, project files, and localized audio/video assets across our internal servers and cloud storage platforms.
- Quality Control (QC): Coordinate the QC process for final deliverables, ensuring all video, audio, and metadata meet platform-specific technical specifications and Moonbug's high standards.
- Localization Pipeline: Support the localization process by tracking dubbing assets, scripts, and localized audio files across various language versions.
- Cross-Functional Collaboration: Act as a central point of contact, communicating project updates clearly to Producers, Directors, Channel Managers, and external vendors.
- Purchase Orders & Invoicing: Manage post-production purchase orders, track vendor invoices, and assist in monitoring project budgets.

Requirements
- Industry Experience: Proven experience working as a Post-Production Coordinator within a fast-paced media, broadcast, or digital production environment. Experience in kids' content or animation is a plus.
- Technical Literacy: A solid understanding of digital post-production workflows, video codecs, file formats, frame rates, and delivery specs for major streaming and social platforms (YouTube, Netflix, etc.).
- Software Tools: Proficiency with project management and post-production tracking tools (such as Monday.com, ShotGrid, or Asana), as well as cloud-sharing platforms (Frame.io, Signiant, Frame, Google Workspace).
- Communication: Exceptional verbal and written communication skills. You can translate complex technical requirements to creative teams and vice versa.
- Organization: Incredible attention to detail and the ability to multitask effectively without losing sight of deadlines.
- Problem-Solving Mindset: A calm under pressure, solution-oriented attitude with the flexibility to adapt when production priorities shift.
Key Responsibilities
- Pipeline Management: Coordinate post-production workflows with production, creative, and QC teams to meet daily goals and deadlines, ensuring assets are processed on time.
- Asset & Vendor Coordination: Liaise with post-production staff and third-party vendors to manage and supply all necessary audio and video assets for editing and delivery.
- Final Delivery & Mastering: Perform video mastering and exporting for final delivery. Configure delivery assets, set technical specifications in Moonbase, and confirm strict adherence to formatting and naming standards pre-ingest.
- Quality Control (QC) & Validation: Conduct PreEQC & AQC validation using tools like Vidchecker. Work directly with the QC Department to resolve failed content and review Assistant logs for accuracy.
- Tracking, Reporting & Escalation: Monitor post timelines using Moonbase Planner, proactively track progress, and escalate immediate delays or post-production issues to the Supervisor for resolution. Develop trackers, manage status dashboards, and prepare data for weekly reports.
- Data & Administration: Perform asset and metadata delivery, update internal library software, and input data based on IP structure and naming conventions, ensuring all fields are complete. Manage administrative tasks, including purchase orders (POs), script orders, and invoices.
- Standards Enforcement: Review document formatting and rights management protocols, rejecting any assets that do not meet required specifications.

Essential Skills & Experience
- Proven background in video editing and post-production, with strong proficiency in Adobe Premiere Pro, After Effects, and Adobe Encoder.
- Solid knowledge of the production process and a strong grasp of Brand/IP concepts to identify potential creative errors.
- Exceptional organizational, file management, and multitasking skills, with the ability to thrive in a fast-paced environment.
- Power user of relevant production and project management tools, including Google Drive, Frame.io, Vidchecker, Airtable/Monday, Lucidlink, and Jira.
- Demonstrates close attention to detail, specifically with a "completer-finisher" attitude.
- Knowledge of Technical specifications for Visual and Audio deliverables and how they fulfil the needs of supporting departments such as YouTube platforms, localisation, and Distribution.
