Post and Facilities Assistant
The Post and Facilities Assistant role is to support the facilities manager in maintaining the Head Office environment. Working as part of the wider Facilities Team, you are responsible for ensuring the smooth running of all ingoing and outgoing post within the office and to ensure the smooth running of day-to-day of supplies and building equipment.
Working hours for this role are 7.00 - 16.00
Responsibilities:
- Manage building stationery supplies
- Heavy lifting: Clearing boxes for sample sale and bags of single samples for recycling
- Sample sale: Unload and deliver to canteen 100+ boxes. Remove from canteen and load warehouse lorry 100+ boxes
- Showroom setup: Quarterly updates/ general setup and pack down, seating for 200+ people
- Office moves: Moving heavy furniture and building office furniture
- DHL heavyweight delivery - Up to 50 heavy boxes incoming
- Logging/picture taking of all incoming parcels via phone or tracking sheet
- Clearing reception of deliveries, mainly press returns
- Building maintenance: Daily checks, Checking and replacing lamps. Toilet locks replacement, sink resealing and attending small jobs where need be around site
- Facilities Assistant: Early start, kitchen supply replenishment. Coffee machine cleaning. Floor walk arounds, issuing access passes
- Showing contractors around building and providing them with access passes
- Weekly fire alarm testing
- Arrange and sort Breakfast, Biscuit and fruit deliveries
- End of day procedures: lock storeroom, lock garden gate, turn off showroom screen and lights etc
- Ensure meeting rooms set up as per HR / Training / PR requirements
- Effectively manage the Post room ensuring its kept tidy and organised at all times
- Process all inbound and outbound FedEx, DHL and DPD packages, International packages
- Franking post, Distribute post internally, Replenish paper for all office printers
