Practice Administrative Assistant – Kingsley Napley, London
Location & Hours
London 9:30 AM – 5:30 PM, Monday to Friday (flexible applications considered, hybrid working—**4 days/week in office during probation, 3 days/week on a rota basis thereafter).
About the Role
We are seeking a proactive and highly organised Practice Administrative Assistant to join our London-based Practice Support team. Ideal for someone who thrives in a collaborative, professional environment, delivering high-quality administrative support.
You’ll work closely with Practice Assistants and fee earners to ensure the smooth day-to-day running of the practice.
Important note: This role focuses on business support and does not offer progression into a legal or paralegal career path.
Key Responsibilities
- Providing high-quality general administrative support to tight deadlines
- Managing diary coordination, meeting arrangements, room bookings, and conference calls
- Arranging travel logistics and researching cost-effective options
- Acting as the first point of contact for clients (phone/email)
- Handling e-filing, mailbox management, scanning, copying, and document collation
- Assisting with Companies House and Land Registry searches
- Supporting file and matter management, including:
- Opening files
- Preparing documentation
- Updating CRM systems
- Archiving records
- Providing financial admin support (expenses, disbursements, transfers, client balances)
- Liaising with internal teams, including:
- Finance
- IT
- People & Culture
- Business Development & Marketing
- Office Services

Requirements
You must demonstrate:
- GCSEs (or equivalent) in English and Maths
- Strong IT proficiency (Outlook, Word, Excel, PowerPoint)
- Exceptional written and verbal communication skills
- Ability to prioritise tasks under pressure
- A professional, detail-focused approach with confidentiality awareness
- A reliable, team-oriented attitude aligned with our company values
