Practice Administrator – Full-Time (Part-Time Considered) – The Village Animal Hospital, Caterham

A friendly and exiting opportunity has opened for a full-time Practice Administrator to join our team at The Village Animal Hospital in Caterham!

This is a permanent contract role working 40 hours per week (or 20 hours per week if part-time), with variable shifts including Saturday mornings.

About the Role

We are seeking a customer-focused, highly organised professional who can manage and prioritise multiple tasks effectively. Ideal candidates will possess:

  • A team player attitude with the ability to work independently
  • A commitment to delivering first-class customer care

Key Responsibilities

Finance & Client Relations

  • Oversee the debt position within the practice, adhering to debt recovery protocols and ensuring proactive control measures.
  • Serve as the point of contact for clients regarding invoices, debts, and queries via telephone, in-person, and email.
  • Generate weekly reports to monitor Healthy Pet Club subscriptions (cancellations, reinstatements, and shortfalls), contacting clients to resolve outstanding amounts.
  • Handle payments, maintain client records, and perform cash reconciliation.

Reception & Administrative Support

  • Cover reception duties as needed (due to leave/sickness), including:
    • Managing client interactions
    • Scheduling appointments
    • Handling client calls

Compliance & Safety

  • Support the Practice Management team in implementing Health & Safety and COSHH regulations, ensuring compliance and assisting with training.
  • Maintain a safe and secure environment for both employees and customers by overseeing premises upkeep.

Operational Efficiency

  • Maintain administrative processes, protocols, and procedures aligned with CVS requirements and statutory regulations.
  • Ensure all documentation is processed efficiently in line with practice protocols.
  • Input new client registrations into the Practice Management System (PMS).
  • Complete miscellaneous daily administrative tasks and emails.
