Administrative Assistant / Medical Office Coordinating Specialist

Job Summary
This role involves both administrative and clinical support functions to ensure smooth and efficient operation of clinical services under general supervision. Tasks are primarily repetitive and routine, including patient scheduling, check-in/out processes, and basic clerical duties. Responsibilities may vary slightly depending on the department.

Essential Functions

Administrative & Clerical Work
- Perform routine administrative and clerical duties in a clinical setting (e.g., E/R, physician practice office).
- Maintain patient appointment records and schedules.

Patient & General Support
- Greet and assist patients (check-in, orientation, directing to appropriate areas).
- Manage appointment scheduling (new, follow-up, and cancellations).
- Cover phone inquiries, direct routine callers, and co-ordinate scheduling.
- Retrieve and distribute unit mail/faxes.

Document Processing & Record Management
- File materials into patient records and print appointment schedules.
- Bill patient copayments and process billing forms.
- Scan documents into patient medical records (LMR, EHR systems).
- Locate and distribute medical records or lab results on request.

Specialized Functions (At Advanced Level)
- Assist with surgical scheduling, appointment modifications, or provider block scheduling.
- Act as system "Super User" for scheduling, registration, and billing tools (training co-workers as needed).

Priority Authorization Work
- Handle and log requests related to prior authorizations, provider inquiries, prescription renewals, and test notifications.

Knowledge & Skills Required
✔ Three years of -office experience ✔ High School Diploma or equivalent ✔ Computer literacy (full Office Suite proficiency) ✔ Scriping or scheduling knowledge (for advanced tasks) ✔ Ability to navigate healthcare administrative systems

- Operating Efficiency – Keyboarding/filing/copying/scanning tasks
- Office systems: fax, scanner, printer, digital record systems
- Phone system management, message triage for routine matters

Communication & Collaboration
- Clear writing (e-mail, reports, patient correspondence)
- Oral communication for routine message-taking, directing phone callers
- Appointment confirmation generation (written and spoken)

Time and Systems Management
- Deadline-oriented along essential workflow keepers’ policy (e.g., acuity-based rescheduling)
- Multitasking across assigned shifts without sacrificing quality.
Schedule & Terms
- Department MGH – Primary Care Patriots Pediatrics
- Hours – 27 hrs/wk (Onsite only)
- Shift Schedule – Tues 08:15AM–06PM; Wed 08:15AM–06PM; FRIDAY 08:15AM–05PM
- Wages – Starting Hourly Rate: $20.00/hour;// Pay Range: $17.71–$24.94/hour Note – Rate progression based on experience.
