About the Role
We're looking for an organised and proactive Client Support Administrator to join Clearwater Wealth Management, an established Principal Partner Practice, part of St. James's Place Wealth Management, based in the City of London.
This is a new role created to support our Business Support Executive, focusing purely on the administrative side of the Adviser's business — from diary management and client paperwork to provider liaison and Salesforce data. You'll be a key point of contact for clients on day-to-day administrative matters, helping the wider team run efficiently.
No prior financial services experience is required. Full training will be provided, with the opportunity to progress into a broader business support or paraplanning career over time.
What You'll Be Doing
- Full diary management, including:
- Internal meetings
- Scheduling client review meetings, including confirmations, requesting information from clients, and working with Business Support Executive staff to ensure smooth client communications
- Liaising with clients on the phone
- Rebooking prospects via phone or email
- Proactive management of the client review dashboard
- Managing DocuSign and sending paperwork to clients and prospects
- Handling and managing Letters of Authority, and pension tracing
- Speaking with providers to gather and chase information ahead of client review meetings
- Dealing with general administration and admin-based client queries, including:
- Updating meeting templates and documents stored in folders
- Sending follow-up emails to clients, including:
- Information requests
- Sending paperwork
- Intro call follow-ups with standard information
- Supporting with personal admin tasks
- Data input to CRM platform Salesforce
- Updating and using Salesforce dashboards for KPI and business tracking purposes

What We're Looking For
- Two years minimum previous administration or customer service experience; financial services background a bonus but not essential
- Strong organisational skills with excellent attention to detail
- Confident communicator on the phone and in writing
- Comfortable managing multiple diaries and priorities at once
- Able to work independently and maintain a disciplined approach to work
- Able to work effectively under pressure in a fast-paced environment to meet tight deadlines
- Computer literate (Word, Excel, Outlook); CRM/Salesforce experience a bonus
- Professional, discreet, and comfortable working with clients and senior stakeholders
- Good A-Levels or equivalent; minimum Grade C/4 in GCSE Maths and English

Salary
£28,000 for entry level, £30,000 – £35,000 for experienced hires, negotiable based on level of experience.
