Lifestyle Executive Assistant

Location: West End, London

Reporting to: Chief of Staff

Overview

An exciting opportunity has arisen for an experienced and highly organised Lifestyle Executive Assistant to join a dynamic Lifestyle Team within a prestigious Family Office, supporting the Founder of a leading hedge fund across a broad range of personal and business activities.

Reporting directly to the Chief of Staff, you will play a key role in delivering seamless executive and lifestyle support, with a particular focus on complex global travel planning, detailed itinerary management and day-to-day coordination. Working alongside a collaborative team of Executive Assistants and support staff, you will help ensure every aspect of the Founder's schedule runs efficiently, anticipating needs and adapting quickly in a fast-paced, ever-changing environment.

This role is ideal for a polished EA who thrives on logistics, enjoys working behind the scenes as part of a high-performing team, and takes pride in delivering exceptional service with absolute discretion.

Key Responsibilities

Travel & Itinerary Management

  • Coordinate complex international and domestic travel, including commercial and private aviation, accommodation, ground transportation and visas where required.
  • Produce comprehensive, detailed travel itineraries, ensuring every element of each trip is meticulously planned and communicated.
  • Monitor travel schedules proactively, responding quickly to changes and ensuring minimal disruption.
  • Liaise with travel providers, household staff, security teams and external partners to deliver seamless travel experiences.

Executive & Diary Management

  • Support the management of the Founder's busy and ever-changing personal and business diary.
  • Coordinate meetings, appointments and engagements across multiple time zones.
  • Anticipate scheduling conflicts and work closely with the Chief of Staff to ensure priorities remain aligned.
  • Assist with meeting preparation, briefing documents and agenda coordination as required.

Lifestyle & Personal Support

  • Coordinate personal appointments, family commitments and lifestyle requests.
  • Liaise with household staff, service providers and trusted advisers to ensure smooth day-to-day operations.
  • Assist with personal projects and ad hoc requests, maintaining the highest levels of service and confidentiality.

Team Collaboration

  • Work closely with the Chief of Staff and the wider Lifestyle Team to deliver seamless support across the Founder’s personal and professional life.
  • Provide cover and assistance for colleagues during periods of leave or peak workload.
  • Collaborate on projects, events and operational initiatives across the Family Office.
  • Maintain clear communication across the team to ensure consistency and continuity of support.

Administrative & Project Support

  • Support the Chief of Staff with a variety of administrative and coordination tasks.
  • Assist with property-related projects, liaising with contractors, advisers and suppliers where required.
  • Prepare reports, documentation and correspondence to support ongoing projects and operational activities.
  • Ensure accurate record keeping and effective follow-up on outstanding actions.

Candidate Profile

  • Proven experience as an Executive Assistant, Lifestyle Executive Assistant or Personal Assistant supporting UHNW individuals, founders or principals.
  • Exceptional travel coordination and itinerary management experience, with the ability to organise complex international schedules.
  • Strong organisational skills with outstanding attention to detail and the ability to manage multiple priorities simultaneously.
  • Comfortable working collaboratively within a close-knit Executive Assistant and Lifestyle Team.
  • Confident liaising with senior stakeholders, household staff and external service providers.
  • Highly proactive, resourceful and solutions-focused with excellent judgement.
  • Calm under pressure with the flexibility to adapt quickly to changing priorities.
  • Professional, discreet and committed to maintaining absolute confidentiality.
  • Excellent written and verbal communication skills.
  • Graduate calibre or equivalent professional experience.
