Family PA
Location: West London
Hours: Full Time, Monday > Friday, 9:00am–6:00pm
Contract: 1 year maternity cover
Start Date: September 2026
Salary: £55,000

About the Role

We are looking for an exceptional Family PA & Operations Manager to support a busy family across household operations, multiple properties, holiday lets, finance administration and special projects.
This is a varied, hands-on role for someone who enjoys creating order, thinking ahead and taking ownership. You will be responsible for ensuring family, property and financial matters run smoothly, proactively managing priorities and anticipating issues before they arise.

Responsibilities

Family & Household

  • Manage family logistics, travel, diaries and key dates.
  • Coordinate moves between properties, ensuring homes are fully prepared for arrivals and departures.
  • Manage personal administration including memberships, renewals, healthcare appointments, insurance claims, vehicles and pet administration.
  • Support household projects, maintenance and contractor management.

Executive & Office Support

  • Provide light Executive Assistant support, including diary management and meeting coordination.
  • Arrange occasional UK and European business travel.
  • Organise company lunches, team events, celebrations and seasonal parties.
  • Support the smooth day-to-day running of the office with general administrative tasks as needed.

Properties

  • Oversee day-to-day operations across multiple properties in the UK.
  • Coordinate cleaning, maintenance, inventories and residence calendars.
  • Support household projects, maintenance and contractor management.

Finance & Administration

  • Manage day-to-day bookkeeping using Xero.
  • Process invoices, receipts, expenses, payroll & overtime records.
  • Monthly invoice entry and payment runs for month end and year end.
  • Manage insurance renewals, annual filings and compliance deadlines.

Systems & AI

  • Keep Notion, Outlook and operational trackers organised and up to date.
  • Identify opportunities to introduce better systems, workflows and automations.

About You

You will be highly organised, proactive and discreet, with experience supporting busy households and/or family offices.

You will have

  • Previous experience as a Private PA, Household Manager or Family Office Assistant.
  • A willingness to undertake bookkeeping and finance administration.
  • Experience managing multiple priorities and external suppliers.
  • Confidence using Outlook, Notion and AI tools such as ChatGPT.
  • Excellent attention to detail and strong judgement.
  • A practical, solutions-focused approach and the ability to work independently.

Success in the Role

  • The next 2–4 weeks are always under control.
  • Properties are family ready at all times.
  • Financial records are accurate, up to date and easy to access.
  • Issues are anticipated and resolved quickly.
  • Systems and processes continuously improve, with technology and AI used effectively to reduce administrative burden.
