We are looking for a Probate Executive to join our Private Client & Tax Group. The team forms part of the firm's wider Private Client & Tax group and provides a comprehensive service to a varied and interesting client base.

Our clients are wealthy individuals, family offices, trustees, financial institutions and established businesses and start-ups. The role

Probate Executive will be responsible for managing a caseload of probate and estate administration matters from instruction through to completion. This role requires excellent client care skills, strong organisational abilities, and a sound knowledge of probate law and procedures. The Probate Executive will work closely with clients, colleagues, and external stakeholders to ensure estates are administered efficiently, sensitively, and in compliance with all legal and regulatory requirements.

Key Responsibilities

Manage a caseload of probate and estate administration matters, including both taxable and non-taxable estates. Draft legal documents such as wills, oaths, inheritance tax forms, estate accounts, and applications for grants of probate. Liaise with clients, beneficiaries, executors, financial institutions, HMRC, and the Probate Registry. Provide clear, empathetic, and professional advice to clients throughout the probate process. Ensure compliance with all regulatory and professional standards, including anti-money laundering and GDPR requirements. Monitor case progress, meet deadlines, and maintain accurate records on the case management system. Assist in the preparation of client billing and ensure matters are progressed cost-effectively. Support the Private Client department with wider activities, including business development initiatives where required. Keep up to date with changes in probate law, tax legislation, and industry best practices.

Essential

Skills & experience

Previous experience managing probate and estate administration files. Knowledge of inheritance tax, trusts, and estate accounting. Strong organisational and time management skills, with the ability to manage competing priorities. Excellent written and verbal communication skills, with the ability to explain complex legal matters clearly. High levels of empathy and client care, especially when dealing with bereaved clients. Proficient IT skills, including case management systems and Microsoft Office.

Desirable

Professional qualification such as CILEx, STEP, or equivalent. Experience working within a private client department in a law firm. Knowledge of wills, powers of attorney, and Court of Protection work.

Personal attributes

Professional, discreet, and trustworthy. Empathetic with a client-focused approach. Detail-oriented and thorough in document preparation and case management. Ability to work independently and as part of a supportive team. Proactive in problem-solving and maintaining high standards of service.
