Probation Case Administrator - Northampton District Court

Official Title: Probation Case Administrator I – Northampton District Court

Pay Grade

Grade 7S

Salary & Compensation

  • Entry Level Pay: $47,632.26
  • Salary Range: $47,632.26 to Pay Range Maximum of $64,638.60
  • Notes: Designated as a Union position (OPEIU, Local 6 MOA/CBA). Beginning salary mandatory for new hires per union agreement. Pay progression within band is governed by collective bargaining.

Role Summary

Performs entry-level court administration functions including data management in the Court Activity Record Information (CARI) system, trial list coordination, and in-person/telephone customer service (serving attorneys, law enforcement, and the public). Supports probation processes across filing, case preservation, and scheduling tasks.

Supervision

Reports to Department Head or designated supervisor.


Key Responsibilities

  • Front Counter Support & Reception

    • Deliver customer service (directing calls, handling in-person inquiries)
    • Answer incoming calls and route to appropriate personnel
  • Document Management

    • Enter/update restraining orders and related files
    • Handle mail distribution: sorting, dating, stamping, routing (both incoming and outgoing)
    • Maintain document filing (copies, retrievals, storage according to protocol)
    • Pull cases for court sessions
  • Court Operations Efficiency

    • Update CARI with upcoming continuances, depositions and trial-related data
    • Prepare and verify daily trial lists with Clerk-Magistrate’s Office

  • Case & Record Support

    • Retrieve criminal records and prepare intake documentation
    • Update case management systems (electronically filed/intake data)
    • Streamline probation case closures (ensuring documentation/maintenance integrity)
    • Assess and address identity issues in probation records (e.g., corrections/mergers)
  • Cross-Departmental Coordination

    • Generate indigency reports for Probation Officers’ counsel appointments
    • Request records from external agencies/dockets
    • Support attorneys by scheduling access, clarifications on forms/procedures
  • Statistical & Data Reporting

    • Track case processing metrics and maintain departmental activity logs
  • Assistance & Resource Provision

    • Facilitate opponent/lawyer access to case materials
    • Aid in scheduling and procedural guidance to litigants/enforcers

Qualifications

Education & Experience

  • High School Diploma or G.E.D.
  • One (1) year of related admin/custodial experience ([combination grad/experience waivers considered])

Supervisory Responsibilities

Working Conditions

Primarily an office environment, with occasional work required in:

  • Intake/logistics areas (handling paper/case materials)

Physical Demands

Light Work Classification (as determined by pay standards):

  • Up to 20 pounds maximum lift occasionally
