Role Overview
We are looking for a Procurement Executive to join our Procurement team and support the purchasing and fulfilment of hardware, software, licensing and services across the business.
This is a hands-on role within a fast-moving MSP environment. You will work closely with internal teams to ensure requested items are sourced from approved suppliers, purchased accurately, tracked effectively and delivered in line with agreed timelines.
The role is focused on the supplier side of the order lifecycle. You will be responsible for engaging suppliers, confirming availability, placing purchase orders, tracking delivery progress, managing supplier escalations and keeping internal stakeholders updated.
This role would suit someone with experience in procurement, purchasing, order fulfilment, supplier management or IT distribution who is organised, commercially aware and comfortable working with detail.
You will operate as part of the wider Operations function, working closely with Sales, Finance, Service Delivery and Technical teams to support accurate, timely and controlled procurement activity.
Key Responsibilities
- Source hardware, software and service items from approved suppliers
- Confirm supplier pricing, stock availability, lead times and delivery options.
- Place accurate purchase orders with suppliers in line with internal processes.
- Track open orders from placement through to delivery.
- Confirm expected delivery dates and provide timely order updates to internal & external stakeholders
- Manage supplier-side escalations where orders are delayed, incorrectly processed, short-shipped or subject to stock changes.
- Maintain accurate procurement records within Autotask PSA and related business systems.
- Ensure supplier information, order notes, delivery updates and fulfilment records are kept up to date.
- Work with Finance to support purchase order, invoice and delivery query resolution.
- Support goods receipt, stock movement and equipment logistics where required.
- Build strong working relationships with key suppliers, distributors and vendor contacts.
- Help ensure procurement activity follows approved supplier, compliance and commercial guidelines.
- Contribute to process improvement across purchasing, supplier communication, fulfilment tracking and procurement reporting.

Required Skills And Experience
- Experience in procurement, purchasing, order management, fulfilment, supplier coordination or commercial administration.
- Strong attention to detail when working with pricing, quantities, part codes, specifications and supplier information.
- Good organisational skills with the ability to manage multiple orders, queries and deadlines at the same time.
- Strong written and verbal communication skills.
- Confidence dealing with suppliers, distributors and internal stakeholders.
- Ability to chase updates, resolve issues and keep accurate records.
- Comfortable working with business systems, spreadsheets and structured processes.
- A proactive approach to ownership, follow-up and issue resolution.
- Good commercial awareness and an understanding of why accurate procurement matters to customer delivery, margin and operational performance.
Preferred Skills And Experience
- Previous experience working in a UK MSP, IT reseller, IT distributor, technology vendor or IT services environment.
- Familiarity with Autotask PSA, ConnectWise, Salesbuildr, procurement portals or distributor systems.
- Knowledge of IT hardware, peripherals, networking equipment, software licensing or Microsoft 365 services.
- Experience working with major IT distributors such as TD SYNNEX, Westcoast, Ingram Micro or similar.
- Understanding of supplier lead times, stock availability, back orders, returns and order escalation processes.
- Experience supporting PO matching, invoice queries, goods receipt or stock control.
