Procurement Officer

IT Procurement Executive

The purpose of the IT Procurement Exec is to strategically source, negotiate, and manage the acquisition of technology products and services to enable the organisation’s digital operations. This role ensures that all IT procurement activities deliver best value, compliance, and operational continuity, while aligning with the organisation’s technology roadmap and financial objectives. The role holder will also ensure all IT department processes are maintained in the company’s process mapping software application.

This role is critical to ensuring business continuity. Management of key contracts that provision the business with essential services is vital to maintaining continuity across the entire organisation. Services such as IT Communications, Office 365, Telephony, and mobile telephony require focused attention to ensure timely payments and prevent service disconnection due to non-payment.

  • Contract & Vendor Management

    • Negotiate commercial terms, pricing, SLAs, and contract conditions to secure favourable outcomes.
    • Manage contract renewals, amendments, and lifecycle tracking.
    • Monitor supplier performance against KPIs and escalate issues as required.
    • Ensure IT supplier processes are consistent and aligned with corporate governance, processes, and standard terms.
  • Operational Excellence

    • Maintain and review IT supplier and contract data in the contract management system.
    • Collaborate with Finance and IT leadership to forecast IT procurement spend.
    • Support vendor risk assessments and ensure compliance with security, legal, and regulatory requirements (including ISO 27001 and GDPR).
  • Knowledge Management & Process Improvement

    • Act as the process lead to ensure the IT organisation can gather, analyse, store, and share knowledge efficiently, reducing redundancy in team efforts.
    • Work with IT Service Delivery and Operations team leads to maintain the Knowledge Base.
    • Serve as CSI (Continual Service Improvement) Lead, managing and improving all IT processes in collaboration with IT teams.
    • Conduct process and procedure reviews to ensure they remain up-to-date and fit-for-purpose.
    • Identify opportunities for efficiency improvements across all responsibilities.
    • Utilise ISO 27001 and GDPR fundamentals, along with negotiation experience, to evaluate and enhance processes, procedures, and departmental operations.
