Job Description: Procurement Support Specialist

Hybrid working with up to 3 days per week working from home
Salford Quays, Manchester
12 Month Fixed Term Contract
Salary £24,900 - £30,400 per annum

How you’ll help us make health happen:

The Procurement Support Specialist will be required to provide the following support services to UK Market Unit staff:

  • Provide front line query support and training to our BGIUK requisitioner community on Oracle Peoplesoft E-Purchasing system
  • Advice and guidance on which products or services should be purchased and which preferred suppliers should be used
  • Advice, guidance and direction on the appropriate buying channel for specific goods and services and in specific circumstances
  • Explaining to internal customers the benefits of purchasing items from contracted suppliers and the need to comply with Procurement Policy
  • Place orders on behalf of users if appropriate
  • Maintain and suggest improvements to our static e-Purchasing catalogue using data and/or feedback from our customers
  • Support on the collection of rebates from our suppliers, using spend data, ensuring that the rebate is made for the correct amount at the required time
  • Monitor and validate ‘special request’ requisitions that are raised using the PeopleSoft E-Purchasing system
  • Ensure that there is no viable alternative within the existing supplier contract landscape and/or system catalogues
  • Record and report (using a call log) all reported problems and issues encountered during procurement activity together with the resolution and follow-up actions
  • Escalate issues to the Procurement Operations Team Leader where appropriate
  • Assist internal customers with supplier disputes and escalate to the Supplier Relationship Manager where appropriate
  • Support with general procurement administrative duties

Qualifications, Training and Experience

The Procurement Support Specialist must have the following skills and experience:

  • Two years experience of working in a customer service environment, preferably within a Procurement Team
  • Experience with customer query management and resolution
  • Effective communication at all levels with good interpersonal skills
  • The ability to create strong supporting relationships with Procurement colleagues and internal customers
  • A strong customer service ethic including the ability to influence our stakeholders in sometimes challenging circumstances
  • Proven numeracy skills with attention to detail essential
  • The ability to analyse data and use problem solving techniques to determine the best course of action
