Role Summary
We’re seeking a dedicated and organized individual to join our AFJ team as a Product Inventory & Online Fulfillment Associate. In this semi-independent role, you’ll manage the flow of stock and orders efficiently, ensuring smooth operations across both online and in-store channels. Your responsibilities include:
- Overseeing inventory movements
- Maintaining accurate stock records
- Coordinating order dispatch and deliveries
- Collaborating with the store team and international colleagues (Cairo in particular)
- Ensuring high standards of service and operational efficiency
You’ll work both independently and collaboratively, supporting the wider logistics process.
Key Responsibilities
Inventory Management
- Monitor and manage online stock levels, liaising with the Cairo team to ensure timely delivery of core and bestselling lines and sizes.
- Work with the store team to maintain accurate inventory records in the Lightspeed system:
- Import and update new stock items
- Adjust prices and quantities for existing items
- Report in-store stock levels and resolve discrepancies with the store/Cairo teams
- Coordinate incoming stock:
- Report receipts to the Cairo team
- Organize hallmarking for all stock (creating orders, managing deliveries, and returns)
- Ensure secure storage and organization of back-of-house and safe-area stock
- Maintain safety during and after trading hours

Online & Store Order Fulfillment
- Wrap, pack, and dispatch orders (UK and international) with accuracy and care.
- Prepare export invoices, ensuring compliance with:
- Tariffs
- Import/export procedures
- HS coding
- Create and maintain order fulfillment workflows, including:
- Tracking outgoing online orders
- Updating the store and online teams on status
- Managing returns and delays promptly
- Handle customer inquiries regarding:
- Tracking details
- Order updates
- Process customer returns for online and in-store stock, reallocating stock effectively.
Logistics Coordination
- Liaise with couriers and carriers to ensure:
- Accurate documentation
- On-time order dispatch (including PR and in-store deliveries)
- Coordinate packaging material orders for:
- Online stock
- Jewellery packaging
- PR materials
- Gifts
- Manage need-based procurement of:
- Packaging materials
- Labels
- Branded packaging

Communication & Reporting
- Maintain clear and timely internal/external communication to support wider business operations.
- Provide regular reports on:
- Stock levels
- Order statuses
- Any operational issues
- Work independently without direct supervision but collaborate effectively with store teams.
Systems & Tools
- Excel proficiency for data management and reporting
- Use of Lightspeed inventory system for stock updates and order tracking
- Maintain digital records of all stock movements and fulfillment activities
Requirements
Education & Experience
- High school diploma or equivalent
- 0–2 years of experience preferred, ideally in a high-end luxury luxury environment.
Key Skills
- Independent working with strong team communication
- Exceptional organizational skills for inventory workflows
- Proficiency in Excel for tracking and reporting
- Familiarity with Lightspeed (or similar inventory systems) helpful but not mandatory
- Basic understanding of import/export protocols, tariffs, and HS coding
Personal Attributes
- Attention to detail in stock management and documentation
- Flexibility to work non-standard hours (evenings, weekends, holidays)
- Ability to multi-task and manage urgent and shifting priorities
- Problem-solving mindset for managing operational issues
