Product Resource Coordinator - Job Overview
About the Role
As the Product Resource Coordinator, you will sit within the Product Resourcing Team, a subset of Product Operations and part of the wider Global Product Team. This team develops and delivers our varied and constantly-evolving global calendar of learning programmes.
Team & Responsibilities
- The Product Resourcing team specialises in operations, focusing on optimising resourcing, scheduling, and logistics to support the Product Team.
- You will report directly to the Product Resource Lead, responsible for managing resourcing processes, planning, and execution.
- This role ensures the seamless delivery and logistical planning of all programmes by focusing on administrative tasks, ensuring each session is scheduled and executed correctly for a best-in-class experience.
Key objectives:
- Manage scheduling, prospective sessions, and data tasks aligned with client and product team needs.
- Optimise resource capacity and ensure an agile, digitised workflow.
The Key Responsibilities
1. Delivery Schedule Planning
- Input confirmed schedules into Coda, updating existing ones.
- Complete preparatory tasks in Coda to activate new schedules.
- Maintain Google Sheets with critical resource planning templates.
- Update and enrich records in Coda/Sheets, including Salesforce Opportunity Codes and staff assignments.
- Draft and finalise mock schedules for review and sign-off before delivery.
2. Associate Resource Support
- Design and share availability surveys for training Associates.
- Conduct onboarding check-ins for new team members.
- Update systems with profiles and resource assignments for new joiners to resourcing platforms.
- Monitor Associate availability and algae associated resourcing capacity.

3. Process Improvements
- Identify and escalate reporting issues, proposing process improvements to the Product Resource Lead.
- Focus on automation opportunities using a digital-first approach.
4. Resource Request Administration
- Streamline request processing by categorising assistance needs for stakeholder review.
- Prioritise requests and provide initial responses or gather support information.
5. Capacity Forecasting Support
- Collect relevant raw data for forecasting analysis, translating it into forecasting-ready formats.
- continually monitor ongoing workloads and availability reporting sources.
Technologies & Tools Used
In your role, you will use:
- Coda (scheduling, data entry, and administration)
- Google Suite (spreadsheet maintenance)
- Asana (project management, task delegation)
- Slack (communication)
- Salesforce (resource tracking, documentation)

Core Qualifications
- Experience collaborating with a variety of stakeholders, including CEOs, business heads, and trainers.
- Strong teamwork skills to balance independent ownership with cross-functional coordination.
- Proficient with digital tools, such as management systems (Asana, Google Suite/Excel) and data entry platforms (Coda, Salesforce).
- Analytical mindset: driven by critical thinking, organisation skills, and the ability to improve/adapt processes.
- Ability to learn quickly, demonstrate leadership, spread enthusiasm and take ownership of challenges.
- High standard of professionalism: driver to efficient and transparent communication in diverse settings.
Desirable Attributes
- Additional familiarity with project management principles and practices.
- Experience with remote-first working environments.

Day-to-Day
- Working hours: 35 hours/week, typically from 9 a.m. to 5 p.m. UK time.
- Flexibility: Can plan around task priority with occasional flexible scheduling (Time Off In Lieu available).
- Office options: Remote-first model with full remote flexibility or you can rotate into our Shoreditch office.
- Team bonding: In-person sessions are reserved for workshops, training, or occasions, held occasionally.

Benefits Package
- Salayity: £32,000 - £35,000 per year *(varies by region).
Commitment to safeguarding: Must demonstrate adherence to safeguarding principles. All roles involving learner contact or data require strict DBS checks (i.e., Enhanced DBS with barred list verification).
Documentation: Post-interview, two professional referees are necessary from:

- Current/previous manager
- Senior-level representative, either within Decoded or the candidate's own work history.
