Overview
As the Product Resource Coordinator, you will sit within the Product Resourcing team, a subset of Product Operations and part of the wider Global Product Team, who develop and deliver a varied and constantly-evolving global calendar of learning programmes.
The Product Resourcing team is a specialised operations team focused on optimising resourcing, scheduling, and logistics. This role has been created to support the Product Resource Lead, who manages resourcing processes and planning for the Global Product Team. The team aims to ensure seamless resource planning and resource optimisation.
The Product Resource Coordinator is a new role designed to ensure excellence in the delivery and logistics planning of our programmes. The role involves:
- Laser-focus on the logistical details of each delivery, managing critical administrative tasks to ensure that every session is planned and scheduled correctly.
- Ensuring our learners receive a best-in-class experience.
- Supporting the team by scheduling workshops and planning prospective sessions in the global calendar.
- Maintaining detailed understanding of the specific requirements for an optimised delivery schedule, supporting both client needs and product team needs.
The role will include data maintenance and administrative tasks with the goal of successful deliveries and optimisation of resourcing capacity, with the support of the Resourcing Lead.
You will work closely to receive and process resource requests, collaborating with cross-functional stakeholders, ranging from (Decoded’s) CEO to Instructors. This role requires an inherent digital-first approach, experience in process improvement, and a data-driven mindset. A can-do attitude, openness to feedback, and the ability to efficiently integrate into Decoded’s culture are essential.

Specific Role & Responsibilities
As a Product Resource Coordinator at Decoded, you are ultimately responsible for:
1. Delivery Schedule Planning
- Data entry into Coda of confirmed schedules, updating existing schedules.
- Completing key actions on Coda in preparation for new schedules to go live.
- Maintaining critical resource planning templates in Google Sheets.
- Ensuring data completeness and data enrichment (e.g. entering Salesforce Opportunity Codes, assigning staff).
- Drafting mock schedules for Learning Programmes, seeking review and sign-off before finalisation.

2. Associate Resource Support
- Creating and circulating availability surveys to gather Associates’ availability.
- Conducting onboarding check-ins with new Associates.
- Adding new joiners to specific resourcing platforms.
- Managing visibility of the Associate network’s availability and corresponding capacity requirements to meet demand.
3. Process Improvements
- Identifying and escalating potential challenges, making recommendations for improvements when needed.
- Identifying automation opportunities using a digital-first approach to resourcing.
4. Resource Request Administration
- Monitoring incoming resource requests and ensuring they are categorised for review.
- Assessing request priorities, providing initial stakeholder responses based on available information.
5. Capacity Forecasting Support
- Gathering raw data from databases in the required format for forecasting analysis.
- Monitoring key data sources, including annual leave and workload projections.

Day-to-Day & Work Environment
This is a full-time role (35 hours/week): Core hours run from 9am–5pm (UK time). Our Time off in Lieu (TOIL) policy accommodates operational requirements where occasional tasks need to be addressed outside these hours. You can expect to structure your own working day to optimise results based on business needs.
Decoded operates primarily as a remote-first business, enabling you to work fully remotely or from our office in Shoreditch. Occasional in-person team days (workshops, bonfires, training, social events) are held to encourage closer team camaraderie.
Working at Decoded also means:

Salary & Requirements
- Realm: £32-35,000 per annum
- DBS/Enhanced Disclosure check for all roles involving interaction with learners or sensitive data.
We require two professional references, which must come from either:
- Your HR department
- Your current/previous manager
- Someone senior within your previous/current organisation.
