Administrative Support – Navæntia UK

About the Role
We are seeking a meticulous Administrative Support Officer to enhance operational efficiency across departments. The ideal candidate will provide coordinated support in office operations, ERP system input, production monitoring, Health & Safety compliance, and data-driven reporting.
Location: One of our four industrial facilities (Belfast, Appledoors, Methil, or Arnish).
Key Responsibilities
Administrative & Coordinative Support
- Streamline daily operations by managing job sheets, reports, and communication logs.
- Maintain accurate records of materials, equipment stock, and workforce deployment.
- Act as a departmental liaison to facilitate knowledge sharing and fast-track information requests.
- Schedule internal/external meetings, capture minutes, and ensure follow-up task ownership.
- Ensure seamless documentation for Quality, Health & Safety, and compliance protocols.

Operations & ERP System Management
- Champion and input data into the ERP system to align operations with real-time insights.
- Assist with resource tracking, including material inventory and scheduling.
Production & Compliance Monitoring
- Proactively monitor production KPIs and provide periodic reports to leadership.
- Review sampling reports and assist in audit preparation to ensure compliance.
- Help coordinate shift schedules and staff resourcing, managing disruptions effectively.
Health & Safety Compliance
- Support Health & Safety documentation control, including risk assessments and workflows.
Troubleshooting & Reporting
- Résolve on-site production issues efficiently and propose contingency measures.
- Input findings including cost tracking, quality logs, and project updates for end-of-day/week reports.

Requirements & Qualifications
- Experience in an administrative or operational support role (preferably manufacturing, engineering, or logistics).
- Strong organisational skills, proficiency in data entry, and attention to detail & accuracy.
- Knowledge of ERP systems (e.g., SAP, Oracle) is advantageous.
- Familiarity with health & safety documentation and audit protocols will be beneficial.
- Excellent communication skills to liaise across teams.
- Technical literacy (Excel, basic MS Suite) and willingness to adapt to new systems.
- Optional: Certification in Health & Safety procedures or related fields.
