Production Coordinator - Events & Festivals
Production Coordinator A London-based events and festivals production company is looking for a Production Coordinator to support the delivery of live events across the UK.
About the Role
- This is a hybrid role suited to someone with 1-2 years of events experience who wants to build a career in production.
Responsibilities
- Supporting Production Managers with the planning and delivery of festivals, outdoor events and experiential activations.
- Collating:
- Supplier quotes
- Safety documentation
- Training certificates
- Insurance paperwork ahead of events.
- Researching new event spaces and:
- Building a database of venue options
- Approaching landlords about site availability.
- Helping prepare creative pitch decks and presentation materials for client meetings.
- Maintaining project administration, including:
- Contact reports
- Schedules
- Diary management for the production team.
- Assisting with on-site coordination during live events, covering:
- Accreditation
- Site office management
- Supplier check-ins
- General production support.
- Updating social media channels with project content and writing post-event case studies.
- Managing the:
- Accreditation process (before and during events)
- Site inventory tracking
- Equipment logging (in and out).
- Supporting:
- Budget tracking
- Expense reconciliation
- Basic financial administration for projects.

Requirements
- Some experience in events, festivals, or live production (even if gained through internships or freelance work).
- Strong organisational skills with the ability to manage multiple tasks across different projects.
- Confident written communication, able to draft:
- Emails
- Reports
- Case studies without heavy editing.
- Proficiency in Microsoft Office, particularly:
- Excel
- Word
- PowerPoint.
- Comfortable working:
- On-site at events (meeting varied conditions)
- Flexible hours.
- A genuine interest in the events and festival industry, with awareness of current trends.
- Proactive attitude:
- Willing to get stuck in
- Solve problems rather than wait for instructions.
