Programme Coordinator
Remote (UK preferred) | Freelance | Project-based | £20/hour initially
Help us deliver exceptional leadership programmes. Kairos works with senior business leaders who want to strengthen how they think, communicate and perform together. We design and deliver bespoke leadership programmes that combine evidence-based methodology with challenging outdoor environments and shared experiences, creating the conditions for lasting change. We work across the UK and around the world, from mountain ranges to remote jungles. The setting changes, but the purpose doesn't.
We're a small team doing ambitious work. Every programme is different. Every client matters. The details matter.
We're looking for someone who wants to take ownership of those details.
Please read the full job description. To apply please follow this link: https://docs.google.com/forms/d/e/1FAIpQLScEvVJH6x_QqIePiUFTPuVAPK0oUKs85tk0pDM6qJXHDR0TgQ/viewform?usp=publish-editor
The role
This is a project-based role.
You'll be brought into programmes as they're confirmed and help make sure they run smoothly from the first client conversation through to the final follow up.
We won't hand you a checklist for every project.
More often, we'll brief you on an intended outcome and trust you to work out what needs to happen to get us there.
Your role is to make sure things don't get missed, clients feel looked after, projects keep moving and the hundreds of small details that make a programme successful are quietly taken care of.
When we've done our job well, our clients shouldn't notice the logistics. They should simply feel that everything works.
What you'll be doing
No two projects are the same.
One week you might be researching venues for a leadership programme, comparing accommodation options and speaking to suppliers.
The next you could be drafting client communications, building participant information packs, organising travel, coordinating outdoor activities, creating presentations or making sure everyone has exactly what they need before a programme begins.

I’m in my final year doing Economics and I don’t know whether to apply for grad schemes now or do a masters first. What do you think?
Honest answer — it depends on where you want to end up. A lot of top grad schemes (Big 4, civil service, banking) don’t need a masters. Let’s look at the ones you’d be competitive for now, and we can decide if a masters actually adds anything.
Also worth knowing: most autumn 2026 applications are open now. Timing matters more than you think.
Start with a chat, not a search bar
Grad scheme, placement, apprenticeship? Not sure what you want yet — that's fine. Your agent talks it through with you and turns "I have no idea" into a shortlist.

Only hits
No noise. No "maybe this fits." Just roles with a clear explanation of why they're right — and where to focus when applying.
Sometimes you'll be improving internal systems or creating better ways of working.
Sometimes you'll simply notice something that nobody else has spotted yet and fix it before it becomes a problem.
The work changes.
The expectation doesn't.
What success looks like
- Projects move forward without needing to be chased.
- Clients receive thoughtful, well-written communication and always know what's happening.
- Bookings are accurate.
- Documents are clear.
- Deadlines are met.
- Risks are spotted early.
- People feel looked after.
How we work
We work with people who expect a high standard, so we expect the same of ourselves.
We value good judgement over rigid process.
If something is unclear, we'd rather you think it through, make a sensible recommendation and keep things moving than wait for permission to take the next obvious step.
We care about momentum.
We care about quality.
We care about doing what we said we'd do.
Most of all, we care about creating an experience that feels calm, considered and professional for every client we work with.
The kind of person we're looking for
You'll probably enjoy this role if these sound like you.
- You notice what needs doing before someone asks.
- You naturally think two or three steps ahead.
- You enjoy creating order where there wasn't any.
- You like solving problems rather than passing them on.
- You write clearly and professionally.
- You care about getting the details right.
- You follow things through to the end.
- You keep people informed.
- You stay calm when plans change.
- You enjoy improving systems and making life easier for other people.
- You take genuine pride in producing work that reflects well on you and the team.
Experience with Google Workspace and integrating workflows using multiple pieces of software is helpful, but we're much more interested in how you think than which software you've used.

Your very own career expert that helps elevate your application to the next level.
This probably isn't the right role if...
- You prefer detailed instructions before getting started.
- You enjoy repetitive administration more than varied project work.
- You'd rather ask what to do next than decide what needs doing.
- You prefer established processes over helping build them.
There's nothing wrong with that. It's just not how we work.
A genuine interest helps
You don't need expedition experience.
But you should be interested in the sort of work we do, the outdoors, travel and leadership.
If the idea of helping deliver leadership programmes in extraordinary places excites you, you'll probably enjoy being part of Kairos.
Practical details
Fully remote (UK preferred).
Freelance contract for service.
Initially £20 per hour.
Work is allocated on a project basis, so hours will vary depending on the programmes we're delivering.
As Kairos grows, we expect this role to grow with it. Our aim is to find someone exceptional, build a strong working relationship and increase responsibility over time.
How to apply

You will be asked for:
- A one-page CV that includes a short paragraph at the top introducing yourself, where you are in your career, and why you're interested in this opportunity.
- A short answer (maximum 300 words) to the question: “Tell us about a time you took ownership of something that wasn't your responsibility. What did you do, and what was the outcome?”
We review every application ourselves. We're much more interested in how you think, the decisions you've made and the ownership you've shown than a long CV.
Shortlisted candidates will then complete a short practical exercise based on a real Kairos project before interview.
“It took my CV and asked me questions relevant to understanding what kind of jobs to suggest for me. Suggestions were almost perfect. Jobs were exactly what I’ve been looking for.”
