Role Overview
Title: Program Manager, Events Operations Operations Location: London (hybrid) Start Date: July 2026 Engagement Type: Limited company (Ltd ONLY) Payment Structure:
- Daily Rate: £350.00 – £410.00 Duration: 6-month contract
This is a transformational, operations-focused role—working behind, not in front of the events themselves. This puzzle-solving position requires orchestrating systems to support learning from high-volume events, ensuring attendree decision-making and a hassle-less client experience. The goal is to keep the business operating smoothly through mindful design of the business-reviewing system.
Key Objectives
This role focuses on the following key areas:
- Designing and maintaining systems that enable trusted portfolio visibility
- Establishing a structured intake process to de-risk avant-garde initiatives
- Running 12-month advance portfolio planning while executing live events
- Developing a modern stance around reporting clarity and internal brand consistency
A failure of discipline would mean clients facing inefficiency, ambiguity and poor governance instead of an adaptive, documentary and collaborative experience.
What You’ll Own

Single Source of Truth & Portfolio Visibility
• Create and maintain a unified, authoritative view of the entire events portfolio — status, owners, milestones, dependencies and risks • Consolidate current solutions (Smartsheet, Monday.com, Adobe Workfront) into a standardized system (with fiction disposed of) • Sustain and run status cadence: internal visibility ensures answers are “ready when needed” without disruption

Intake & Demand Governance
• Replace reactive “blink-and-build” model by replacing with a structured intake process, where each request follows clear qualifying, prioritisation & classification before implementation begins • Define principles, with the Strategic Events Lead, for strategic alignment with resources and scaling based on anticipated value • Implement robust governance rules to ensure requests match internal mission—unedited resources are not allocated to misaligned efforts

Reporting Cadence & Stakeholder Governance
• Establish governance to balance stakeholder input with consistent delivery intervals • Provide easy-to-understand progress reporting (without meetings) accessible by all organizational levels • Develop insights into different angle perspectives ("themes," not "numbers")

Planning, Capacity & Resourcing Systems
• Create a rolling 12-month capacity model to plan beyond immediate needs • Shift execution into collaborative models ensuring clean-handoff, shared ownership and striking a balance between reactive pressures • Secure dedicated "exposure" time—open communication channels (people's visibility into syncs, debriefs, learnings)

Process & Playbook
• Build preventive checkpoints across timelines (artwork, briefing, ticketing etc.) ensuring adherence to expectations • Institutionalize standardized templates for internal briefs, runn-of-show, and event-wrap reports • Own the operating rhythm—checkpoints for capacity improvement

Agency Operating Model
• Procure, alongside Sr Leadership, an interaction-sketch of the agency model (governance, deliverables, timelines, budgeting) • Review and enhance existing agency relationships across critical operating functions
Must Have
- Experience: Proven program or PMO leadership designing operations for multiple concurrent workloads
- Capable of building scalable processes from chaotic or ambiguous environments
- Change management instincts—adopting systems with minimal reliance on hierarchical control
- Delivers strong stakeholder relationship by transparency and decisive refusal for misaligned priorities
- Expectations setting when engaging senior stakeholders that in subtle yet direct ways cutoff unnecessary involvement
- Demonstrates lemmatized project tools with a preference aligned with documentation & centralization
- Fluent in stakeholder communication – crisp executive summaries, status reports also adaptable for detail

- Prior events, brand or experiential marketing experiential context
- Track record with external agency models including process- and governance-level engagement
- Familiarity with tools like Figma or Microsoft Suite, though it will not be a dealbreaker
- Proficiency captured via Colombia Enthusiast-level PM/OP certifications (e.g PMP, PRINCE2, PMI-ACP)
