Location: Marylebone Station, London
Salary: Up to £34,700 per annum
About the Role
The Programme Coordinator will provide essential support to the team and wider business, focusing on reporting, analysis, tracking, and monitoring of projects and programmes. They will underpin the delivery of our programmes by ensuring the accuracy, timeliness, and alignment of documentation, assessments, and processes—supporting both internal teams and wider stakeholder engagement.
Key Responsibilities
Programme Stewardship & Reporting
- Deliver accurate, compelling reporting using data management tools and dashboards, showcasing progress across projects and programmes while identifying risk and opportunity.
- Align reporting with agreed deadlines and processes.
Project Governance & Documentation
- Attend and provide administrative support for governance meetings—including building actions, tracking and escalating critical issues.
- Maintain and update key project documentation such as Risk, Action, Assumptions, Issue & Dependency (RAAID) Logs and business-focused updates.
- Create, manage, and update stage gate reviews, handover plans.
Stakeholder Engagement & Collaboration
- Work closely with internal/external stakeholders to drive accountability for delivery, offering constructive support/challenge when required.
- Build and foster positive working relationships with Procurement, Finance, IT, HSSE, and Infrastructure.
- Represent the Programme Management Office (PMO) in cross-business discussions.

Operational Support & Continuous Improvement
- Manage filing systems, both digital (SharePoint) and physical, to ensure documents are easily accessible.
- Assist with scheduling, calendar management, and minute-taking for critical meetings (e.g., Programme Delivery Group (PDG) and Industry Partner forums).
- Escalate risks and issues as needed, escalating timely intervention.
- Streamline internal communications, maintaining clarity and accessibility.
Training & Awareness
- Support training initiatives to improve internal project management capability among stakeholders.
- Actively promotion best practice, standards, and PMO processes across the organisation.
- Explore best-practice learning from Train Operating Companies (TOCs).

Experience
✔ Experience delivering administrative support to projects/programmes.

✔ Familiarity with:
- Diary and meeting minute management.
- Regular periodic reporting (e.g., quarterly) to support decision-making.
- Basic to intermediate project schedule development (e.g., in MS Project/Excel).
✔ Data-driven mindset suited to:
- Monitoring the impact of team decisions on outcomes.
- Contributing clean, meaningful data for PMO reporting.
Skills & Competencies
Technical Competencies
- Proficiency in Microsoft PowerPoint, Excel/Planner, SharePoint and basic tools like MS Project (orära conversion).
- Confidence in Power BI / data management dashboards for high-quality analytics.
- Strong grasp of financial reporting basics and operational data context.
Soft Skills
