About The Role
We are looking for a highly organised and proactive Project Administrator to provide comprehensive administrative support across a range of projects and office functions. This is an excellent opportunity for someone with strong administration skills who enjoys working in a fast-paced environment, supporting project teams and ensuring the smooth day-to-day running of operations.
The successful candidate will play a key role in coordinating project administration, maintaining accurate records, arranging meetings and travel, supporting recruitment activities, and providing excellent service to internal and external stakeholders.
Key Responsibilities
- Provide administrative support to project managers and wider project teams.
- Maintain project documentation, records, reports, and filing systems, ensuring information is accurate and up to date.
- Coordinate meetings, workshops, and conferences, including arranging venues, preparing agendas, and distributing meeting packs.
- Attend meetings when required, taking, compiling, and distributing minutes and action logs.
- Support project reporting by creating and updating documents, spreadsheets, presentations, and project trackers.
- Manage travel arrangements including flights, rail tickets, accommodation, and associated logistics.
- Handle incoming calls, emails, correspondence, and enquiries professionally and efficiently.
- Coordinate incoming and outgoing post, courier services, and document distribution.
- Assist with procurement activities, maintaining inventories of office equipment and supplies.
- Arrange maintenance and repairs of office equipment as required.
- Support recruitment and onboarding administration activities.
- Conduct research, gather information, and prepare reports and presentations for management and project teams.
- Maintain confidentiality of company, project, customer, and employee information at all times.
- Build positive relationships with colleagues, clients, suppliers, and stakeholders.
- Identify opportunities to improve administrative processes and contribute ideas for continuous improvement.
- Provide additional support across projects and business functions as required.

About You
To be successful in this role, you will have:
- Previous experience in an administrative, project support, or coordinator role.
- Strong organisational skills with the ability to manage multiple priorities.
- Excellent verbal and written communication skills.
- A high level of attention to detail and accuracy.
- Strong problem-solving ability and a proactive approach.
- Confidence dealing with a wide variety of people and situations.
- Ability to work effectively both independently and as part of a team.
- Good understanding of administrative processes and procedures.
- Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Experience maintaining records, reports, and project documentation.
- A professional, positive, and customer-focused approach.
Qualifications
- GCSEs (or equivalent), including English and Maths.
- Relevant administration or business qualifications are desirable but not essential.

About the Water|Highways Business Unit
Our Water team designs, builds, and maintains vital UK water infrastructure, ensuring secure water supply and wastewater services.
We work with major water companies to create resilient facilities, reduce flood risks, and improve environmental outcomes. Currently, we participate in the Welsh Water AMP7 and AMP8 frameworks and have secured projects with Wessex Water for the next five years. These long-term framework agreements are part of a national £88 billion investment, requiring a collaborative and agile approach to meet the industry's challenges.
Our Highways team delivers comprehensive services, from major national projects to local schemes, improving road journeys for millions daily.
With expertise in tunnelling, bridges, and more, we provide end-to-end project support, including design, integration, and construction. Current projects include concrete road replacements for National Highways, smart motorway safety enhancements, and widening the A423 for Oxford City Council.
