Project Administrator

Project Administrator – Heidelberg Materials UK

Heidelberg Materials UK, one of the UK’s largest suppliers of construction materials, employs over 4,000 people across approximately 300 manufacturing sites. We are committed to building a greener, more sustainable future through innovation in circular economy solutions and carbon-neutral practices. With digitalisation creating new opportunities for our customers, we are seeking a proactive Project Administrator to provide essential support to our Project Management teams.

Salary

Up to £30,000 per annum (dependent on experience).


About the Role

As a Project Administrator, you will deliver outstanding administrative support across all project activities, ensuring consistency in data processing, reporting, and compliance. Your role spans from timesheet management to invoice processing, working closely with stakeholders—including project teams, suppliers, contractors, and clients—to guarantee seamless project execution.

Key Responsibilities

TaskDetails
Administrative SupportProvide accurate and timely support to Project Management in a fast-paced environment.
Document & Data ManagementProcess purchase orders, goods receipt notes (GRNs), and complete monthly reconciliations.
Timesheet & Compliance ManagementManage project timesheets, attendance records, holiday, absences, and overtime records.
Onboarding & HR SupportCoordinate employee/contractor/supplier onboarding submissions along with driver registrations.
Reporting & Data AnalysisProduce quarterly reports/KPIs using SAP, Excel, Entropy, and other business platforms.
Finance & InvoicingProcess invoices via Basware, prepare VAT invoices, and manage credit card reconciliations.
Traceability & ComplianceEnsure documentation (quotations, schedule agreements) is filed and missing tickets submitted via STARS.
CommunicationOrganise meetings; take minutes; coordinate travel, accommodation, and general admin support.
Site-Specific ComplianceEnsure adherence to UK contractors’ requirements and Heidelberg Materials procedures.

What We’re Looking For

Essential

  • GCSE Grade 4 (C) or above (or equivalent) in English and Maths.
  • Strong administrative experience, ideally within office, project, or construction environments.
  • Excellent communication, organisational, and attention-to-detail skills.
  • Proficiency with Microsoft Office, with advanced Excel skills (analysis, reporting, PivotTables, VLOOKUP/XLOOKUP)**.
  • Full valid UK driving licence with access to a personal vehicle.
  • Ability to handle confidential information discretely and professionally.

Desirable

  • Experience with SAP invoice processing.
  • Familiarity with Basware or equivalent systems.
  • Advanced Excel skills (Macros, Slicers, VLOOKUP/XLOOKUP).
  • CSCS Level 1 (Safety Pass/Construction Site Worker).
  • Exposure to 'on-site verification or low-level audits in prior roles.
