The Role: Project Administrator (Import / Export)
Join our team as a Project Administrator, supporting the complex world of import/export logistics, customs compliance, and end-to-end order fulfilment.
Core Responsibilities

Customs & Compliance Liaison
- Liaise with internal teams, customs brokers, and freight forwarders to ensure smooth supply chain processes.
- Coordinate with HMRC documentation deadlines, ensuring clearance instructions reach brokers on time.

Documentary Control & Record-Keeping
- Maintain accurate HMRC-compliant records of all import/export transactions.
- Uphold precise compliance with regulatory storage and retention requirements.

Logistics & Supply Chain Management
- Oversee end-to-end bulk export shipments (daily, weekly, and ad-hoc).
- Physically inspect shipments at the HUB (twice weekly) for onward delivery to customers in Germany.
- Utilise SAP reporting to monitor despatches, ensuring on-time customer deliveries.

Returns & RMA Processing
- Manage the Returns Management Area (RMA) database for product returns.

O&M Cover & Supplementary Responsibilities
- Provide cover for the Order Management Administrator during Mondays, holidays, or sickness absences.
- Collaborate with Production to minimise excess stock via records in SAP.
Order Execution & Customer Relationships

SLA Compliance
- Ensure orders are delivered on time and within budget.
- Meet customer promises with consistent delivery performance.

SAP Mastery
- Create and maintain accurate Sales Orders in SAP.
- Facilitate invoicing via order-level tracking.
- Input origin details and commodity codes for SAP auditing.

Conflict Resolution & Trust-Building
- Work with Credit Control in referred debt scenarios.
- Maintain a no-blame culture in collaboration with Operations.
- Attend required meetings and reviews to strengthen inter-departmental bonds.

Problem-Solving & Customer Support
- Monitor and resolve customer complaints promptly via emails and escalations.
- Maintain Transparent and responsive communication with client priorities.

What You’ll Bring
Requirements

Essential Qualifications & Skills
- Education to GCSE level or equivalent (English & Maths).
- Commercial/Business Administration experience with a willingness to adapt.
- Strong Export/Import Business knowledge.
- Proficient in Microsoft Office (Windows).
- Unquestionable SAP skills.
- Up-to-date with HMRC legislation (with a commitment to continuous learning).

Soft Skills
- Exceptional written and verbal communication at all levels.
- Ability to diagnose and resolve problems independently.
- Adaptability in implementing continuous improvement/LEAN methodologies.
** Nice-to-Have Bonus**
- Familiarity with based freight forwarding software.
- Experience in Order Management Systems.
