At Tech Pipeline, we handle the technical friction that stops operations teams from doing their jobs. We are currently supporting a Birmingham based firm expanding its internal infrastructure, and we need a Project Administrator to help keep our technical tasks organized and our documentation accurate. This role is about maintaining the ground truth of a project while we rebuild routing rules and fix broken data cycles.

About the role

The Project Administrator is the organizational anchor for our engagement with the Birmingham firm. In this role, you will not be managing high level strategy or sitting in abstract planning sessions. Instead, you will be in the system logs and project boards making sure every technical task is accounted for. You will help our team track down why specific approval chains are stalled and ensure that every fix we implement is documented so the client can run it themselves later. Because we work in a fully remote environment, your ability to communicate clearly through text and organized files is the most important part of the job.

What you will be doing

  • Monitor and update project task boards to reflect the current status of troubleshooting and implementation steps.
  • Document internal routing rules and logic gaps as the technical team identifies them during system audits.
  • Perform basic data reconciliations to verify that information is moving correctly between the client's different software tools.
  • Draft clear and simple standard operating procedures (SOPs) based on the new workflows we build for the client.
  • Identify and flag backlogs in the project queue that might require more attention from our technical leads.
  • Assist in the final verification phase by checking system logs against expected outcomes during the first month of live operation.
  • Send concise weekly updates to the client and internal team focusing on what was fixed rather than just what was talked about.

What we need from you

  • Highly organized habits and a natural tendency to keep digital files and tasks in order.
  • Strong writing skills with a focus on being descriptive and direct rather than using corporate jargon.
  • Basic familiarity with spreadsheets, including the ability to compare two lists of data for discrepancies.
  • An interest in how business software works and how different tools talk to each other.
  • The ability to work independently in a fully remote setting and manage your own daily schedule.
  • A cautious approach to data that involves double checking work before it is finalized.
  • Comfort learning new software tools quickly by reading the documentation.

Helpful background

  • Previous experience in an administrative or entry level operations role.
  • Basic exposure to project management software like Trello, Jira, or Asana.
  • An interest in technical logic, even if you do not have a formal computer science degree.
  • Experience working with data entry where accuracy was the primary measurement of success.
