Team Overview
The Contracts department oversees the delivery and execution of projects from initial mobilisation through to completion and handover. Acting as the bridge between design, commercial, and on-site teams, the department ensures that all contractual obligations are met while maintaining high standards of quality, safety, and efficiency. With a focus on planning, resource coordination, and problem-solving, the Contracts team plays a key role in ensuring our projects are delivered on time, within scope, and to the satisfaction of our clients.
Role Overview
In this role, you will be responsible for providing essential administrative support to the operations team, ensuring accurate recording, tracking, and reporting of key operational data. The role involves managing timesheets through systems such as Workflow Infinity, maintaining precise job coding, tracking labour hours and downtime, and compiling detailed project documentation including Matterport scans, pre-despatch imagery, and despatch reports. In addition, the role supports compliance and workforce readiness by maintaining training and induction records for employees and subcontractors, ensuring all personnel are appropriately trained and inducted using systems such as PowerPlus. The successful candidate will demonstrate strong attention to detail, excellent IT skills, and the ability to collaborate effectively across teams to support efficient project delivery and continuous improvement.

Job Title: Project Administrator
Location: Head Office, Banbridge
Hours: Monday-Thursday 8am-5pm and Friday 8am-3pm
Salary: Competitive Depending on Experience
Responsible to: Operational Excellence Manager

What You'll be Doing
- Responsible for the administration and processing of timesheets through Workflow Infinity, ensuring accurate job coding and the effective tracking of labour hours by discipline and plantroom.
- Monitoring and recording downtime data.
- Carrying out Matterport scans of completed plantrooms and ensuring all scans are uploaded promptly prior to dispatch.
- Recording pre-dispatch images and drone footage.
- Compiling comprehensive dispatch reports.
- Maintaining training and induction records for both employees and subcontractors, ensuring new personnel receive the appropriate training and work instructions in a timely manner, while escalating any issues to management for resolution.
- Assisting with the use of PowerPlus for inductions.
- Undertaking any other reasonable tasks required to support business objectives.
