The Role: Project Administrator (Import / Export)
Responsibilities
You’ll be the gatekeeper of critical processes, ensuring smooth and efficient operations:
Import/Export & Logistics Coordination
- Liaise with internal teams, customs brokers, and freight forwarders
- Ensure timely reception of all documents for customs clearance
- Maintain records and ensure compliance with HMRC record-keeping requirements
- Oversee end-to-end bulk export shipments (daily, weekly, and ad-hoc basis)
- Conduct twice-weekly physical checks for HUB shipments to Germany
- Validate all despatches using SAP reporting to ensure timely delivery to clients
- Manage the RMA database (returns)
- Handle SAP data management ( originate products, commodity codes, etc.)

Order Management Coverage

Provide placeholder duties for the Order Management Administrator (Mondays, holidays, sickness)

Execute order fulfilment promptly, adhering to cost and timing commitments

Ensure customer delivery promises are met

Maintain and process Sales Orders within SAP, including invoicing

Input details into SAP, while working with:
- Production team to minimise stock
- Credit Control for debt resolution

Collaborate closely with Operations to sustain a blameless workplace culture

Attend meetings as required

Offer proactive customer support by managing the Order Management email inbox, addressing complaints efficiently and escalating as needed
Qualifications & Experience
- Educated to GCSE level (or equivalent), with qualifications in English and Maths
- Experience in Commercial/Business Administration gained
- Adaptability to evolved business processes is key
- All-rounder with knowledge of Export/Import business operations (mandatory)
- Computer proficiency essential:
- Microsoft Office (Windows environment) – compulsory
- SAP expertise – critical
- Commitment to continuous updating with the latest HMRC compliance regulations
- Problem-solving attitude – identify issues early and take ownership
- Strong written and verbal communication ability for internal & external interactions
- Process improvement orientation—embody LEAN principles within Project Administration
- Innovative mindset to propose operational enhancements across departments
