About the Role

Join our dynamic Project Management team as a Project Administrator, a pivotal role ensuring seamless project execution through flawless administrative support. As Project Administrator, you’ll support a range of high-value projects from initial planning through to completion. Your responsibilities span procurement, operational workflows, and reporting, ensuring that stakeholders—internal teams, suppliers, contractors, and clients—move forward with accurate, timely data.

Your work does more than keep books in order; it enables our Project Management teams to focus on delivering success by eliminating administrative bottlenecks. In a sector reshaping the UK’s built environment, your contribution supports goals from carbon neutrality to digital transformation.

Key Responsibilities

Supporting the Project Management team with essential administrative functions across multiple projects, including:

Project Operations & Compliance

  • Deliver precise and timely administrative support to ensure project timelines, budgets, and deliverables are met;
  • Process, verify and reconcile purchase orders (POs), goods receipt notes (GRNs), ensuring compliance with Heidelberg Materials procedures;
  • Collate, validate, and maintain project timesheets and attendance records via SAP and other systems;
  • Manage holiday, absence, and overtime records accurately and discreetly.

Supplier & Contractor Coordination

  • Coordinate onboarding processes for employees, contractors, suppliers, and drivers, administering submission inputs;
  • Track and manage client reports, including volume deliveries and high-level PI/TKI/HQ (Hanson Quality) metrics.

Financial & Procurement Management

  • Process invoices via Basware, preparing VAT returns in SAP; liaise with suppliers and respondents for missing tickets submitted via STARS system;
  • Reconcile purchase card transactions and maintain purchase order tracking to ensure financial accuracy;
  • Anticipate and resolve procurement and expenditure queries within allocated systems—leveraging real-time data to inform execution.

Data & Reporting

  • Generate project KPIs and performance reports across platforms including SAP, Excel, Entropy, and construction-specific tools;
  • Utilise advanced Excel functionalities (Pivot Tables, VLOOKUP/XLOOKUP, Macros, and Slicers) to transform data into actionable insights;
  • Maintain project files, contractual documentation, and compliance registries to support audits and stakeholder requests.

Organisation & Coordination

  • Arrange internal meetings, record minutes, and support travel/accommodation plans;
  • Provide wider administrative support to facilitate effective team collaboration and client interactions.

Compliance & Rules Adherence

  • Ensure compliance with all Heidelberg Materials processes and site-specific protocols, upholding the highest standards in safety, sustainability, and performance.

Required Qualifications & Experience

Essential

  • GCSE Grade 4 (C) or above in English and Mathematics, or equivalent qualification;
  • Proven administrative experience in a fast-paced office/project environment, demonstrating strong analytical skills and an attention to detail;
  • Excellent communication and organisational abilities with a strive for precision;
  • Fluent in Microsoft Office applications, with particular expertise in:
    • Word
    • Excel (including data analysis, report creation)
  • Strong discretion when handling sensitive company information;
  • Active full UK driving licence and unrestricted use of own vehicle, as travel is regularly required.

Desirable

  • SAP training/experience (finance, procurement, or materials modules);
  • Familiarity with Basware or similar systems—beneficial for invoice automation process;
  • CSCS CSC1 (Level 1 White Card) Recertification if supporting site activities in the UK construction market.
