Project Administration Role

Permanent Position – 5+ Years Growth Opportunity

Key Responsibilities

  • Maintain strict document control for project files (electronic and hard copy).
  • Provide project management administration support, ensuring compliance with Kirby's methodical approach (“Kirby Way”).
  • Handle project procurement, including small miscellaneous items, consumables, and plant.
  • Keep all key project documentation up to date (risk registers, project programmes, drawings, and technical files).
  • Organise and document internal/external meetings (taking notes, distributing minutes).
  • Chase deadlines, collate project information, and coordinate cross-team communications.
  • Serve as the central point of contact for project progress tracking.

Requirements

  • Strong administrative skills, self-motivated, and proactive approach.
  • Confident phone and interpersonal communication—key for relationships with staff, suppliers, investors, and directors.
  • Excellent IT proficiency (especially Excel, budget/spreadsheets, and workflows).
  • Must manage multi-tasking prioritisations efficiently.
  • Previous construction/engineering experience is advantageous (though not essential).
  • Commercially aware with a problem-solving mindset.
