About you and the role
Please note: This is an office-based role located in Romsey, Hampshire. We ask that all applicants ensure they are within a reasonable commuting distance before applying.
Are you looking for a meaningful role in a company that delivers products and solutions which can significantly improve lives? We are looking for a Project Coordinator to join our friendly client services team on a permanent basis. In this role, you'll provide support to Complete Practitioners and take full responsibility for coordinating projects within dedicated client accounts, ensuring smooth delivery from start to finish.
You’ll manage diaries, organise events, prepare project resources, and maintain clear communication with clients and internal teams. Your work will ensure the needs of both your clients and the business are met accurately and on time, supporting multiple Complete Practitioners delivering within each account.
Location: Romsey, Hampshire
Employment Type: Permanent
Hours: Full-time, 37.5 hours per week
Working Pattern: Predominantly office-based — candidates must be within comfortable commuting distance of Romsey, Hampshire. Following a successful probation period, some home working flexibility (2–3 days per week) may be available.
Salary: £30,000 - £35,000 per annum (DOE)
Start Date: As soon as possible
Key Accountabilities:
- Take ownership of project and event delivery once a deal is confirmed, managing all logistics including scheduling, travel and accommodation bookings, visa applications, vaccination/testing compliance, and preparation of all required materials — with a strong focus on client coordination and delivery quality.
- Booking sessions for coaching programmes and workshops that are delivered by Complete Practitioners.
- Maintain accurate and up-to-date records in HubSpot, including client/contact data, deal stages and pipeline reporting.
- Create and edit proposals, arrange calls, and respond to client queries.
- Ensuring clients have appropriate resources for new coaching programmes and for meetings/sessions including printed or electronic assessment reports.
- Liaising with the Analytics team to ensure reports are delivered in time for session delivery.
- Preparing, sending and overseeing the return of Complete products.
- Organising printing requirements using external providers and sending materials via postal/courier service, ensuring timely delivery.
- Individual assessments: co-ordinating requirements, chasing completions, and sending reports.
- Accountable for submitting expense receipts monthly, assigning project codes, and responding to any financial queries raised by the finance team.
- Working with the finance team to ensure all necessary client information for POs is captured, flagging any missing information to Practitioners that could impact invoicing.
- Telephone cover and undertaking office unlock/lock-up duties.
- Participation in weekly team and client update meetings.

Your Previous Experience
- A minimum of two years in a similar personal/executive assistant, project coordination, or project management role.
- Project and/or event coordination experience.
- Highly proficient in Microsoft programs including Outlook, MS Teams, Word, PowerPoint, Excel, MS Planner, and MS Forms.
- Experience with HubSpot or other CRM platforms.
- Strong IT knowledge and the ability to operate across multiple platforms.
- Educated to degree level.
