Project Coordinator
Project Coordinator – 9-Month FTC Role
(KBR – Estates Intelligence Division)

Our Estates Intelligence (EI) division specialises in empowering clients to optimise their estate and asset portfolios through data-driven decision-making. Using the "6 As" Methodology—aggregation, automation, assurance, audit, analytics, and asset management—we deploy our Viaverse platform, a single source of truth, to:
- Standardise data flows across supply chain and operational teams
- Enable real-time transactional management with stakeholders
- Provide actionable insights for strategic asset lifecycle control
As part of a large-scale mobilisation programme, KBR is transitioning a new public sector client onto the Viaverse platform. This requires:
- A multi-workstream approach (design, build, test, transition, hypercare)
- Significant data migration, process change, and operational upskilling
- A cross-functional technology team underpinned by rigorous project governance
This is a high-impact role within a UK public sector transformation, offering real-world exposure to complex programme delivery, March 2025 start.

About the Role
We are seeking a Project Coordinator to report to the IT Project Managers, providing executive support for the Programme’s delivery team. This is an opportunity to:
- Develop Project Management skills under direct supervision
- Contribute to a large-scale, time-sensitive mobilisation
- Work with UK government and commercial stakeholders
Key Responsibilities
The Project Coordinator will:
- Plan & Coordinate
- Update project schedules under IT PM guidance (responsible for replanning where needed)
- Manage smoothed float, critical path tracking, and deconfliction to prevent delays
- Responsibly for burn-down reporting, task progress updates, and status dashboards
- Governance Support
- Shadow stand-ups, sprints, and checkpoints, deputising for IT PMs as required
- Collaborate with KB EI governance bodies to ensure plan alignment
- Oversee configuration and change management reviews for Project Gates
- Risk & Issue Management
- Maintain and update the internal RAID log ( Risks / Assumptions / Issues / Decisions ), adhering to audit requirements
- Lead Quality Gateway assessments (documenting outputs and mitigate action plans)
- Ensure RAID governance visibility is provided to stakeholders proximarily
- Communication & Reporting
- Ensure KANBAN boards (Jira or other) are optimised for transparency
- Prepare internal deliverables and external reports (if mandated) via PowerPoint/Excel
- Take minutes at governance meetings and maintain action logs
- Transitional Assistance
- Support collaboration with client teams & external suppliers (iniative log), ensuring alignment

Required Qualifications, Experience & Skills
Experience:
✔ Previous experience in programme/project support or under a PMO environment ✔ Proficiency in supply chain, risk management, and change controls ✔ Demonstrated ability in volumetric and complex reporting (Develop numerical/verbal outputs) ✔ Client-facing experience, particularly with non-technical public sector stakeholders ✔ Extensive experience interfacing with outsourced teams (clients, suppliers), with a focus on relationship and delivery alignment ✔ Experience delivering in fast-paced environments with mandatory go-live milestones
Technical Skills:
- Project Management Tools ( Must have: Intermediate/Advanced MS Project / Smartsheet )
- Data & Reporting ( Intermediate Excel skills, inc. Pivot tables & macros )
- Collaboration & Visualisation ( MS PowerPoint, Jira KANBAN or alternative agile tools )
- Technical Awareness (Azure, IaaS, virtualization and data integrity)
The position is based at Leatherhead (Surrey), with a hybrid workload (minimum 3 days on-site per week).
