Job Description
The Project Coordinator will play a key role in ensuring the smooth operation of madeWORKSHOP by managing freelance crew scheduling and supporting project coordination, acting as a key link between project managers, workshop teams and freelancers, ensuring projects are delivered efficiently.

Project Assistance & Coordination
- Support project managers with scheduling, tracking and coordination
- Assist with resource planning, ensuring smooth project execution
- Occasionally source materials or props when needed
- Support sustainable set reuse initiatives and waste reduction efforts, ensuring scenery flats, props and materials are reused, repurposed or recycled
- Step in for procurement when they are on holiday or unavailable or need support
Freelance Crew Booking & Scheduling
- Manage and schedule freelance crew e.g. carpenters, painters, welders, set builders etc. ensuring they have completed the required onboarding and mandatory documentation before commencing work
- Ensure projects are properly staffed, coordinating availability with freelancers
- Handle contracts, booking confirmations and payment tracking
- Maintain and grow a network of reliable, skilled freelancers

Internal Process Improvement & Communication
- Ensure crew schedules and project updates are well-documented
- Act as a key point of contact for workshop teams, freelancers and project managers
- Support client-facing teams by maintaining accurate records of health and safety/ compliance documentation (RAMS and Method Statements) are prepped ahead of time
- Assist with the implementation and continuous improvement of health and safety procedures and compliance processes
