Job Description

The Project Coordinator will play a key role in ensuring the smooth operation of madeWORKSHOP by managing freelance crew scheduling and supporting project coordination, acting as a key link between project managers, workshop teams and freelancers, ensuring projects are delivered efficiently.

Project Assistance & Coordination

  • Support project managers with scheduling, tracking and coordination
  • Assist with resource planning, ensuring smooth project execution
  • Occasionally source materials or props when needed
  • Support sustainable set reuse initiatives and waste reduction efforts, ensuring scenery flats, props and materials are reused, repurposed or recycled
  • Step in for procurement when they are on holiday or unavailable or need support

Freelance Crew Booking & Scheduling

  • Manage and schedule freelance crew e.g. carpenters, painters, welders, set builders etc. ensuring they have completed the required onboarding and mandatory documentation before commencing work
  • Ensure projects are properly staffed, coordinating availability with freelancers
  • Handle contracts, booking confirmations and payment tracking
  • Maintain and grow a network of reliable, skilled freelancers

Internal Process Improvement & Communication

  • Ensure crew schedules and project updates are well-documented
  • Act as a key point of contact for workshop teams, freelancers and project managers
  • Support client-facing teams by maintaining accurate records of health and safety/ compliance documentation (RAMS and Method Statements) are prepped ahead of time
  • Assist with the implementation and continuous improvement of health and safety procedures and compliance processes
