A Bit About The Role …
This is a Project Coordinator position supporting the planning and delivery of innovative, high-impact exhibitions and booth projects at Inizio Engage XD.
As a Project Coordinator, your key duties include:
###/Project Coordination/
- Support a team of Project Managers, Seniors and Directors in planning, executing, and closing out exhibit/environment projects on time and within budget.
- Coordinate internal and external meetings by managing agendas, meeting notes, and action points.
- Maintain accurate project documentation, including timelines, status reports, and compliance records using enterprise tools (e.g., Smartsheet).
- Collaborate with Creative, Logistics, and Live Production teams to ensure smooth delivery.
###/Budget Management/
- Track budgets, client purchase orders (POs), and invoicing through company systems.
- Support post-event cost reconciliations and expense reporting.

###/Client and Stakeholder Support/
- Provide timely, clear communication with Project Leads and other delivery teams.
- Prepare presentations and project documentation for both internal and client-facing use.
###/Onsite Support/
- Travel globally for on-site set-up, delivery, and breakdown of exhibitions.
- Act as the primary contact for crew and suppliers during events.
###/Requirements/
- Passion for environments/exhibitions and the events industry.
- 3+ years’ experience in project coordination, specifically within exhibit/booth planning or broader event organisation.
- Ability to organise multiple projects with different timelines efficiently.
- Proficiency in Microsoft Office and experience using project management tools (e.g., Smartsheet, Trello).
- Comfortable travelling internationally for onsite assignments.
- A proactive, solution-oriented mindset.
