Project Coordinator
Project Coordinator – IT Services Team
Phoenix enables digital transformation across the UK public sector, empowering organisations to innovate with cloud and hybrid infrastructures, data, AI, security, and collaboration technologies.
We are now hiring a Project Coordinator to join our IT Services team and support the successful delivery of customer projects. This role will focus on providing coordination, administration, and governance support across a range of project engagements, ensuring projects are delivered efficiently and in line with agreed standards and processes.
Working closely with Project Managers, consultants, customers, and internal stakeholders, you will act as a central point of contact throughout the project lifecycle, supporting planning, communication, documentation, and coordination activities.
What Will You Be Doing?
- Support the delivery of projects by providing coordination and administrative support throughout the project lifecycle
- Prepare project kick-off materials, including presentations and supporting documentation
- Attend project meetings and:
- Take detailed notes
- Distribute meeting summaries and actions
- Work closely with Project Managers to support project delivery and governance activities
- Assist with the creation and maintenance of project documentation and compliance requirements
- Act as an additional point of contact for customers, supporting communication and issue resolution
- Escalate project risks, issues, and concerns where appropriate
- Coordinate resources, helping allocate consultants to projects
- Create and maintain collaboration spaces using Microsoft Teams and SharePoint
- Assist with the development and maintenance of project plans and delivery schedules
- Support effective communication and collaboration across project teams and stakeholders
- Contribute to continuous improvement of project delivery processes and ways of working

Experience & Qualifications (Desirable but not essential)
- Experience providing project coordination or project support, preferably within an IT services environment
- Experience supporting project documentation, meetings, and stakeholder communications
- Strong administration and organisational experience
- Experience using Microsoft Teams, SharePoint, or other collaboration tools
Practical Details
Location
Primary base will be at our HQ in Pocklington (YO4 2AH).
Working Arrangements
We support hybrid working, with flexibility based on team needs.
Interview Process
Following an initial screen with the Recruitment Team, candidates typically progress to:
- A two-stage interview process: one online and one in-person
BPSS Check (Security Clearance)
All employees must complete a BPSS (Basic Personnel Security Standard) check, though some roles may require enhanced security clearance. This is a mandatory prerequisite for all job offers.
