AV Matrix is a growing technical production company delivering professional AV solutions for a range of indoor and outdoor events and experiences throughout the UK including festivals, corporate conferences, awards ceremonies, exhibitions and brand activations.
We pride ourselves on delivering exceptional customer service, technical expertise, and reliable event support. As our business continues to grow, we are looking for an organised, proactive Project Coordinator to join our team.
Role Description:
This role is fully office-based at our warehouse in Wetherby. The role involves coordinating small to medium-sized AV projects from enquiry through to successful delivery.
You will be the key point of contact for clients, venues, suppliers, and internal teams, ensuring projects are quoted, planned, scheduled, and delivered efficiently. The role focuses on delivering full-service AV projects, where equipment, technical crew and event support are provided as a complete solution for our clients.
You will work closely with venue partners, trade customers, and new clients, helping to build long-term relationships while ensuring every project runs smoothly behind the scenes.

Key Responsibilities:
- Co-ordinate AV projects from initial enquiry through to completion.
- Prepare quotations and proposals for clients.
- Coordinate equipment, crew, transport, and logistics for events.
- Liaise with venues, suppliers, and technical departments.
- Maintain and develop relationships with venue accounts and trade customers.
- Ensure all project information is accurately recorded and communicated in a timely manner.
- Work closely with the operations team to maximise resource utilisation.
- Monitor project costs and profitability.
- Deliver excellent customer service at all points of contact.
About You:
The ideal candidate will be highly organised, customer-focused, and capable of coordinating multiple projects simultaneously.
Essential Skills & Experience:
- Strong organisational and administrative skills.
- Excellent communication and customer service abilities.
- Ability to prioritise workloads and manage multiple deadlines.
- Strong attention to detail.
- Professional and confident telephone manner.
- Competent with Microsoft Office and cloud-based systems.
- Commercial awareness and problem-solving ability.
- 2 years minimum experience within the Audio Visual/Events Sector.

Desirable:
- Experience with CAD software such as SketchUp, WYSIWYG, or Capture.
- Experience using rental management software such as Current RMS.
Working Hours:
- Monday - Friday - 9am – 5:30pm
