POSITION SUMMARY

We’re looking for a proactive and highly organised Project Coordinator to support a portfolio of in-flight technology projects through their final delivery phases and transition into operations. Working closely with multiple Project Managers, you will provide structure, maintain momentum, and ensure all deliverables, dependencies, and milestones are tracked and completed on schedule.

In addition to supporting existing programme activities, you will play a key role in coordinating critical internal infrastructure deployments and external customer-facing initiatives, including network implementations, circuit provisioning, and third-party supplier engagement. This is a fast-paced environment where attention to detail, strong communication skills, and the ability to manage multiple parallel workstreams are essential.

The ideal candidate will be highly organised, proactive, and comfortable working with a broad range of stakeholders, vendors, and technical teams to ensure successful project outcomes.

EDUCATION AND EXPERIENCE

  • Experience in Project Coordination, PMO, or Project Support roles within IT infrastructure, cloud, networking, or digital transformation programmes.
  • Strong organisational skills with exceptional attention to detail and accuracy.
  • Experience maintaining project plans, RAID logs, dashboards, status reporting, and governance documentation.
  • Proficiency with Microsoft Excel, PowerPoint, MS Project, Smartsheet, JIRA, Planner, or similar project management tools.
  • Ability to coordinate multiple stakeholders, suppliers, and workstreams simultaneously.
  • Strong communication and stakeholder management skills.
  • Ability to work independently, manage competing priorities, and maintain delivery momentum.
  • Experience working within an MSP, systems integrator, or technology services environment.
  • Exposure to infrastructure, network, cloud, data centre, or workplace transformation projects.
  • Experience coordinating third-party suppliers, carriers, circuit providers, and technical delivery teams.
  • Understanding of project transitions, service handovers, and project closure activities.
  • PRINCE2 Foundation or equivalent project management qualification.

KEY JOB ELEMENTS

  • Experience in Project Coordination, PMO, or Project Support roles within IT infrastructure, cloud, networking, or digital transformation programmes.
  • Support Project Managers in delivering multiple concurrent projects and workstreams.
  • Coordinate critical internal infrastructure deployments, office technology initiatives, and customer delivery activities.
  • Track progress against milestones and maintain detailed project schedules and action plans.
  • Maintain project artefacts including RAID logs, dashboards, status reports, decision logs, and project documentation.
  • Coordinate meetings, workshops, project reviews, and communications across internal teams, customers, and third-party service providers.
  • Support network implementation activities, including coordinating with circuit providers, telecommunications vendors, and infrastructure suppliers.
  • Manage dependencies among technical teams, suppliers, and business stakeholders to ensure successful delivery.
  • Assist in identifying, documenting, and escalating risks, issues, assumptions, and dependencies to Project Managers.
  • Prepare stakeholder updates and reporting packs to ensure clear visibility into project progress, challenges, and key decisions.
  • Support transition, operational readiness, and closure activities, including handover documentation and knowledge transfer.
  • Ensure project governance standards are maintained and that actions are tracked through to completion.
  • Drive accountability across project participants, ensuring tasks are completed within agreed timescales.
  • Support continuous improvement of project delivery processes, reporting standards, and documentation practices.

  • Comfortable operating in a fast-paced delivery environment with multiple competing priorities; highly organised with excellent time management skills.
  • Able to coordinate and engage effectively with a broad range of stakeholders across technical, operational, supplier, and customer teams.
  • Demonstrates strong ownership, accountability, and follow-through, proactively driving actions to completion and removing delivery blockers.
  • Confident working alongside Project Managers and Programme Managers to support complex infrastructure, network, and transformation initiatives.
  • Articulate, professional, and confident communicator, both in writing and verbally.
  • Demonstrates a strong customer-first mindset, consistently delivering a high standard of service and stakeholder engagement.
  • Excellent interpersonal skills; approachable, collaborative, and able to build positive working relationships at all levels.

  • Strong attention to detail with a commitment to producing high-quality project documentation, reporting, and governance artefacts.
