Role Purpose
The Document Controller is responsible for managing the flow, storage and integrity of all project documentation across the project lifecycle. The role ensures that drawings, specifications, contracts and correspondence are accurate, current, properly distributed and fully auditable, supporting the project team in delivering on time and in compliance with contractual and quality requirements.
Key Responsibilities
- Establish and maintain the project's document control system (e.g. Aconex, Asite, Procore, Viewpoint, or SharePoint) in line with company and client procedures.
- Register, issue, track and file all incoming and outgoing documentation, including drawings, RFIs, technical submittals, transmittals and correspondence.
- Manage revision control, ensuring superseded documents are archived and only current versions are in circulation.
- Coordinate the review and approval workflow, tracking turnaround times and chasing outstanding actions to meet deadlines.
- Maintain accurate document registers, transmittal logs and status reports and distribute these to the project team as required.
- Assess the quality and properties of all incoming and outgoing official documentation, ensuring it meets company, client and contractual standards before issue or filing.
- Ensure documentation complies with contractual requirements, naming conventions and the project's information/BIM protocols.
- Liaise with clients, consultants, subcontractors and the internal team to resolve document queries and confirm receipt of critical information.
- Support handover by compiling O&M manuals, as-built drawings and the final health & safety file.
- Maintain confidentiality and security of sensitive project information, and support internal and external audits.

Skills and Experience
- Previous document control experience, ideally within construction, engineering, or a related sector.
- Proficiency with electronic document management systems (EDMS) such as Aconex, Asite, Procore, or similar.
- Strong working knowledge of Microsoft Office, particularly Excel and Outlook.
- Excellent attention to detail, organisation, and the ability to manage high volumes of information under deadline pressure.
- Clear written and verbal communication skills.
- Understanding of construction documentation and terminology (drawings, RFIs, submittals, transmittals) is an advantage.
- Familiarity with ISO 9001 quality standards and/or BIM/ISO 19650 information management protocols is desirable.
