Job Purpose

We are looking for an experienced Project Finance professional who thrives at the intersection of project delivery, commercial finance and operational excellence. This role partners closely with Client Services, Event Delivery and Finance to ensure projects remain financially healthy from project kickoff through reconciliation.

Beyond managing project finances, you'll partner with and coach project teams on financial best practices, improve financial processes, champion consistent use of Procim and help strengthen commercial decision-making across the business. This is a highly collaborative role for someone who enjoys influencing stakeholders, driving change and continuously improving how project finance is delivered.

You’ll succeed in this role if you enjoy partnering directly with project teams rather than working solely within finance, you love bringing structure and consistency to process, and enjoy solving problems and improving systems.

Key Responsibilities

  • Maintain the accuracy, completeness, and compliance of project financial data within Procim, conducting regular financial health checks and audits throughout the project lifecycle
  • Manage project financial administration, ensuring project records, financial milestones, documentation, and audit trails are maintained in accordance with company procedures and controls
  • Partner closely with the internal project teams throughout project lifecycle to proactively maintain budgets, identify financial risks, and financial opportunities, as well as support forecasting, project financial controls, and Procim best practices
  • Demonstrated experience improving project finance processes, implementing best practices and driving adoption of new ways of working
  • Monitor project budgets, committed costs and actual expenditure, identifying, investigating and escalating variances, risks and discrepancies as appropriate
  • Provide financial oversight across all stages of project delivery to ensure budgets, supplier costs, purchase orders, billing schedules and financial records remain accurate and aligned
  • Lead continuous improvement initiatives that enhance project finance processes, reporting, and commercial controls
  • Review and manage budget revisions, cost reallocations and financial changes, ensuring impacts on profitability, forecasting and project performance are accurately reflected
  • Partner with project teams to support commercial decision-making, financial visibility and project profitability
  • Support the management of purchase orders, supplier invoices and payment requests, ensuring appropriate approvals, supporting documentation and timely processing
  • Ensure supplier costs and project expenditure are accurately allocated and recorded against the correct projects
  • Maintain and monitor project billing schedules, ensuring billing milestones are aligned to project delivery timelines and highlighting any revenue or cash flow risks
  • Track, record and support the timely billing of commission income, maintaining visibility of outstanding revenue and resolving discrepancies
  • Lead project financial close-out activities, ensuring project costs, revenue, commissions, time charges, supplier commitments and billing are fully reconciled prior to closure
  • Produce project profitability reports, utilisation and financial performance data, providing insights and recommendations where appropriate
  • Monitor timesheet and expense submissions, ensuring accuracy, completeness and timely completion to support project costing and reporting
  • Act as a key finance contact for Client Services, Venue Finding, Production and Event Delivery teams, providing guidance on project finance processes and best practice
  • Build effective relationships across departments to support financial accuracy, compliance and continuous improvement of systems, reporting and ways of working
  • Ensure compliance with internal financial controls, approval processes, audit requirements, VAT regulations, statutory obligations and relevant data management requirements
  • Support internal and external audits and ensure all financial documentation is appropriately stored, maintained and accessible

Skills, Experience & Competencies

Essential

  • Previous experience in project finance, project controls, commercial finance, project accounting, or operational finance within a project-based environment
  • Strong understanding of budgeting, forecasting and financial reporting
  • Experience managing multiple project budgets simultaneously
  • Knowledge of financial controls, approval processes and VAT requirements
  • Experience working with multi-currency budgets and supplier payments
  • Systems & Reporting
    • Experience using Procim is a must; deep experience with Procim, including supporting project teams in Procim, identifying best practices, and training team members within the platform where applicable
    • Advanced Microsoft Excel skills including Pivot Tables, XLOOKUP/VLOOKUP and financial reporting
    • Experience using finance, ERP, or project management systems
    • Ability to analyse financial data and identify trends, risks and discrepancies
    • Excellent attention to detail and numerical accuracy

Desirable

  • Experience within events, experiential marketing, conferences, exhibitions or agency environments
  • Experience using Xero or similar accounting software
  • Experience supporting international projects and global suppliers
  • Understanding of event delivery processes and project lifecycles

Additional Information

  • Salary: £40,000 - £44,000
  • Hours: 37.5 hours per week
  • Location: Bromley, Greater London (office-based / hybrid - 1 or 2 days in office per week)

This role may require occasional international travel, therefore candidates must be able to obtain and maintain valid travel documentation where required.
