The Project Manager Role

What You Would Get to Do The Project Manager is responsible for supporting clients with both internal and client-facing events and conferences, delivering exceptional service through effective project management and creative solutions. This role involves overseeing all aspects of event operations, from initial briefing to post-event reconciliation.

Key responsibilities include:

  • Managing project plans, collateral, registration, transportation, hotel accommodations, entertainment, food and beverage, audio/visual needs, webcasts, staging, speaker coordination, and event execution.
  • Ensuring onsite events may require domestic or international travel.

Your Contributions

You will be responsible for the full life-cycle planning and execution of multiple key events in a virtual, in-person, and hybrid capacity. Core duties include:

  • Financial management: Budget development and management, expense processing, invoice handling, and timely reconciliation and reporting.
  • Vendor and supplier coordination: Sourcing, negotiating, and managing site selections; contract management for venues and suppliers, including food and beverage, transportation, hotel accommodations, entertainment, and gift selection.
  • Collateral and virtual event coordination:
    • Arrange audio/visual needs, webcasts, staging, and speaker selection.
    • Confirm appropriate virtual platforms; develop timelines, manage invitations, and monitor attendee/supplier/stakeholder communication.
  • Collaborative teamwork: Work seamlessly with internal partners including Marketing, Production (AV), Event Technology, Legal, and Compliance teams.
  • Compliance and risk adherence: Ensure alignment with client standards and internal guidelines.
  • Travel: Conduct site inspections and manage onsite execution of live events.
  • Post-event wrap-up: Finalise attendee records, budget reconciliation, observations/news analysis, and client debriefs for future improvements.
  • Knowledge-sharing: Share best practices, supplier innovations, and venue updates.

What We Are Looking For

  • 5–7+ years’ event management experience, preferably in a corporate or financial environment.
  • Experience in events, conferences, meetings, and production management, including C-level executive events, cocktail receptions, dinners, and multi-day events.
  • Senior client management experience.
  • Proficiency with Microsoft Office (PowerPoint, Excel).
  • Motivated, proactive self-starter with strong problem-solving and independent planning skills.
  • Exceptional project management proficiency, with the ability to manage multiple concurrent projects and deliver under tight deadlines.
  • Virtual event experience is preferred (e.g., Webex, Zoom).
  • Strong leadership, negotiation, and decision-making abilities.
  • Adaptive and resourceful, with a need-for-direction balance and proactive ideation.
  • Customer-focused, approachable, and relationally flexible to match client preferences.
  • Advanced client relations skills.
  • Strong oral and written communication.
  • Ambitious, highly organised, and willing to travel for site-visits or event management.
  • Experience with large-scale databases (priority on Cvent), knowledge of European venues/suppliers.
