SUMMARY: The Project Manager supports the Director, Fleet Development in planning, coordinating, and executing refit and refurbishment projects across AmaWaterways’ global fleet as well as newbuild project when required. The role ensures structured project management, transparent communication, schedule and budget control, and documentation consistency across fleet development initiatives. This position enables efficient cross-functional collaboration between design teams, technical management, operations, shipyards, and external partners.
DUTIES AND RESPONSIBILITIES:
Project planning and coordination:
- Develop and maintain integrated project schedules, milestone plans, and action trackers.
- Coordinate cross-functional workflows between design teams, technical management, operations, shipyards, and external consultants.
- Monitor progress and proactively identify risks/opportunities related to schedule, scope, cost or deliverables.
- Propose mitigation measures for the identified risks and manage their implementation.
- Triage emerging issues, propose corrective measures and manage their implementation.
- Manage project closer and produce lessons learned reports.

Budget oversight & financial tracking:
- Assist in development and maintenance of project budgets.
- Track committed and actual expenditures, identify variances, and support forecasting.
- Maintain cost-control tools and provide structured budget reporting for leadership review.
- Track procurement status, approvals, and major material deliveries impacting project timelines.
Meeting & communication management:
- Organize and coordinate recurring project meetings and workshops.
- Prepare structured agendas aligned with project priorities.
- Document key decisions, action items, and responsibilities.
- Ensure timely follow-up and closure of open items.
- Prepare concise executive-level project status updates and presentations.
Document & project controls:
- Maintain centralized project documentation including drawings, specifications, change orders, and correspondence.
- Manage document control processes, revision tracking, and version consistency.
- Maintain risk registers, issue logs, decision logs, and variation trackers.
- Support implementation and optimization of project management and tracking systems.
Process improvement & governance:
- Contribute to the development and standardization of fleet development processes, reporting templates, and project control frameworks.
- Support continuous improvement initiatives to enhance efficiency, transparency, and cross-departmental collaboration.
- Assist in building scalable project management structures to support fleet growth.
- On-site support as required.
- Performs other related duties as assigned by management.
SUPERVISORY RESPONSIBILITIES:
This job has no supervisory responsibilities.
QUALIFICATIONS:
- Five to ten years of related experience
- Computer skills required: Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook; Project Management Software (e.g. MS Project, Asana, Smartsheet, Monday); Document management and collaboration platforms (e.g. Sharepoint, Teams); ability to manage project documentation, revision tracking, and shared digital filing systems

Other skills required:
- Ability to coordinate multidisciplinary project teams, including design consultants, engineers, contractors, and technical managers
- Strong meeting facilitation skills, including agenda preparation, documentation of decisions, and action tracking
- Experience maintaining structured project documentation, including drawings, specifications, and change logs
- Ability to track project schedules, budgets, risks, and deliverables simultaneously
- Strong organizational and prioritization skills in environments with multiple concurrent projects
- Ability to synthesize complex information into clear summaries and executive-level reports
- Comfortable working with international teams and external partners across multiple time zones
- Ability to maintain confidentiality and professionalism when working with leadership and external stakeholders
