Role Description
You will be responsible for supporting the project services team with the resources required to deliver an efficient service to meet all the needs of the site project team users and any overseas LE visitors. The services provided, as not limited but include preparation for Site Induction, Clearance, Procurement, Overseas visitors, and general administration. The individual will ensure systems, processes, and practices are actively managed, communicated, and delivered in a timely and efficient manner.

- Create, manage, and track allocation of PPE stock
- Oversee day-to-day building operations (cleaning, maintenance, repairs) and liaise with contractors such as G4S for cleaning and lockers.
- Conduct regular facility inspections and ensure compliance with health & safety standards.
- Manage bookings for staff, visitors, contractors, or project teams, in particular, supporting any resource needing to visit site from Germany or France.
- Liaise with the Head of HR and Projects Teams to proactively facilitate all resources, including labor, plant, and logistics, ensuring cost-efficiency and expenditure is in line with budgets and policies. To include the overseeing of the VISA application and allocation process in line with forecast.
- Maintain records for invoicing and compliance using the concur and SAP system.
- Ensure general services such as stationery and office-related items are available, replenished, and ordered when required, and that purchase orders, goods receipted are matched with relevant invoices and processed in line with the purchasing process.
- Act as the main point of contact for all service providers across facilities, waste, catering, and accommodation, including Somerset Larder.
- Monitor service-level agreements (SLAs) and escalate performance issues, this will include the vetting provider Rullion and any other services in support of bringing over resource.
- Support procurement activities and contract renewals with service providers.
- Undertakes any other tasks/activities as required by the HR/IR Lead.
